Clerical Officer
KEY PURPOSE OF JOB:
Clerical Officers may be based at any Council location and will be responsible for carrying out a full range of clerical, secretarial, administrative and customer service duties.
KEY RESPONSIBILITIES
1. Provision of general word processing, typing, administrative and secretarial services and maintenance of computer systems.
2. Provide efficient customer service support and act as first point of contact dealing with members of the public, written enquiries and telephone calls from the public as required in accordance with Council Customer Care standards.
3. Assisting with the development, implementation and maintenance of office systems and procedures. Maintenance and issue of office stock levels e.g. stationery, sundries. Provide cover as required for issue of stores items.
4. Processing financial items and transactions in accordance with Council procedures.
5. Ensure all Health & Safety legislation, published relevant guidelines and Council Health & Safety policies and procedures are complied with in relation to the services and activities within the facility.
6. Ensure the provision of high standards of customer care across all the services provided by the Unit and promote the service effectively and communicate in a way, which enhances and promotes the public image and overall reputation of the Council.
Note:
The postholder should be aware that the responsibilities and functional areas of the post may be subject to change as a result of organisational change. The Council therefore reserves the right to change the duties of the post by adding to or amending the range of functional responsibilities. The post holder will be required to be flexible and adaptable to meet the changing needs and requirements of the organisation.
Qualifications
It is essential that applicants have a minimum of:
1.1
· Five GCSE passes at Grade A-C, NVQ Level 2 or equivalent
Experience
1.2 – A minimum of 1 years’ general clerical/administrative experience in an office environment to include word processing experience and a similar role in an office and public facing environment.
Where applicants do not hold the qualifications as outlined in 1 above, they must demonstrate a minimum of three years’ experience as above.
Knowledge
1.3 - A working knowledge of computer packages to include databases.
