Maxi Zoo Ireland is seeking an Accounts Administrator, reporting to the Head of Finance, to support our wider finance team. This is a Full-Time Specified Purpose Contract.
Hybrid working arrangements will be offered after initial onboarding and successful candidate is required to work on site at our Headquarters at least 2 days per week.
The Temporary Accounts Administrator will play a crucial role in maintaining efficiency within our finance department. This position serves as the primary point of contact for our vendors, managing transaction processing, resolving queries, and keeping our accounts payable function organized and up to date.
Key Responsibilities
- Inbox Management: Serve as the gatekeeper for the finance team's shared inbox. Monitor, triage, and distribute incoming correspondence daily, ensuring urgent matters are escalated and routine inquiries are answered promptly.
- Invoice Organization: Receive, sort, log, and digitally archive supplier invoices. Match invoices to purchase orders and delivery notes, preparing them accurately for approval and payment runs.
- Vendor Account Management: Maintain up-to-date and accurate vendor profiles within our accounting system and perform checks for missing invoices.
- Vendor Relationship Management: Act as the primary liaison for all vendor finance queries. Build and maintain collaborative professional relationships with suppliers, proactively addressing payment timing, billing issues, and credit notes.
- Relationship Management: Day to day correspondence with the store network, aiding in queries and requesting outstanding information.
Qualifications and Experience
- Prior experience managing shared email inboxes and digital filing systems.
- Downloading invoices from online portals.
- Familiarity with SAP and proficiency in Microsoft Excel.
