Administration and Systems Lead

Job details:
Hours: 35 hours per week
Salary: £32,083.63 per annum
Contract: Fixed term until March 2027
Location: Belfast, Northern Ireland
Job Background:
The Administration & Systems Lead will oversee and coordinate administrative systems and processes across Root Cause Community Services. The postholder will ensure organisational databases, administrative procedures, and record-keeping practices are accurate, consistent, and compliant with organisational and funder requirements. The role focuses on strengthening administration, supporting staff to maintain high recording standards, and ensuring systems effectively support service delivery.
Main Duties and Responsibilities:
Lead and coordinate administrative functions across Bryson Pathways Community Services.
Establish and maintain consistent administrative processes across teams and communities.
Oversee systems supporting referrals, registrations, attendance monitoring, consent, and service documentation.
Ensure administrative practices support efficient service delivery.
Identify opportunities to improve administrative systems and implement agreed improvements
Oversee the effective operational use of AdvicePro and associated systems.
Monitor databases to ensure records are accurate, complete, and maintained in line with agreed standards.
Carry out routine data quality and compliance checks.
Support staff to maintain consistent and accurate recording practices.
Act as a first point of contact for day-to-day systems or administrative queries, escalating issues where required.
Ensure administrative and recording practices comply with GDPR, organisational policies, and funder requirements.
Essential Criteria:
Significant experience in an administrative, office management, or operational support role.
Experience overseeing administrative systems or organisational databases.
Experience supporting compliance, monitoring, or record-keeping within a busy service environment.
Experience working across multi-programme or multi-site services.
Experience developing or improving administrative processes or systems.
Working knowledge of database or case management systems (e.g. AdvicePro or similar).
Understanding of GDPR and data protection requirements.
Ability to prioritise workload within a fast-paced operational environment.
Proficient in Microsoft Office Package
Desirable Criteria
A relevant qualification in Business Administration, Management, Office Administration, or a related discipline.
