The Opportunity

The Administrative Services Lead role is responsible for delivering an exceptional workplace experience. In this role, you’ll be the friendly face of our front desk, the go‑to person for office support, and a key partner to our Facilities Lead.
The Administrative Services Lead reports directly to the Office Facilities Manager and works closely with them to deliver high‑quality workplace experiences. The role also provides cover during any absence of the Facilities Lead to support continuity of service.
Primary responsibilities for this role will include:
Front of House & Reception
- Welcome visitors and handle all in‑person and telephone enquiries with professionalism.
- Manage the main switchboard, screening and redirecting calls.
- Handle incoming post, courier deliveries, and outgoing shipments.
- Provide reception cover when the Facilities Lead is on leave.
Office & Administrative Support
- Order and maintain office stationery, printer toners, and supplies.
- Keep accurate records and perform regular stocktakes.
- Provide general administrative support across the business.
- Perform an extensive array of administrative tasks.
- Contribute to the planning & execution of engaging events to foster a vibrant workplace culture.
- Provide support to EAs on site.
Facilities Operations
- Support facilities projects and day‑to‑day operations as needed.
- Act as the main point of contact for cleaning contractors and ensure site‑wide cleanliness standards are met.
- Provide full cover for Facilities Lead duties during leave or absence.
Employee Engagement & Internal Support
- Support the Employee Engagement Committee and act as a Values Ambassador.
- Respond to and redirect ad hoc employee queries.
The skills you will bring to the team
- Strong organisational and multitasking abilities.
- Excellent communication and stakeholder‑management skills.
- Ability to coordinate multiple contractors and service providers.
- Solid understanding of Health & Safety legislation and facilities compliance requirements.
- Proactive problem‑solving skills and sound decision‑making in urgent situations.
- Ability to remain calm and responsive in fast‑paced environments.
Where and how you will work
The opportunity will be based 5 days per week in our Leggetsrath office in Kilkenny.
