Administrative Assistant
We have an exciting, fixed term Executive Personal Assistant career opportunity to join our team in Sligo! Please note that this role is 60% of full time hours.
Based at our Ballytivnan site, you will provide strategic executive administrative support to a senior leader ensuring effective communication and operational efficiency across the operations organization.
In this role, you will be supporting a global leader, managing their communications, maintaining organized schedules and records, and preparing materials for global meetings. By facilitating high-level stakeholder engagement and ensuring compliance with organizational policies, you will be contributing to the seamless functioning of office operations and supporting the leader in achieving the organization's strategic objectives.
Day to day, you will be
- Providing comprehensive, confidential, and anticipative administrative support for Senior AbbVie leader.
- Assist the Senior leader in coordinating the activities of the team including scheduling and agenda management of relevant meetings, collecting and distribution of metrics, and management of action items and accountability.
- Assist in the creation of reports, presentations and highlight updates as required
- Schedule, arrange and monitor diary appointments to ensure effective time management.
- Lead the co-ordination and agenda of important internal and external visitors, including transport, meeting rooms, catering, and restaurant bookings
- Participate and manage projects including working with cross functional teams
- Plan and co-ordinate travel arrangements and submit timely expense reports (Concur).
- Organize events such as off-site training and team building activities
- Management and coordination of confidential documents for team.
- Communication management: designing, and distributing executive messaging, updates, presentations.
- BTS support – SharePoint/teams channel owner/distribution/mailbox list owner.
- Reporting & transacting data updates as required.
- Process improvement.
Qualifications
To be successful in this role, you will need:
- A relevant 3rd level qualification
- Experience in a similar Executive Assistant role
- Strong communication skills – both verbal and written
- Ability to collaborate, partner and influence throughout the organization
- To have demonstrated the ability to operate with little instruction and minimal supervision and be empowered to work independently and autonomously
- To have advanced knowledge of MS Office – Outlook, Word, PowerPoint and enabled to leverage AI technologies to streamline your workload
