About the post: The objective of the post is to provide secretarial, administrative and operational support to the Psychiatry Department and to contribute to its ongoing development.
Job Responsibilities
- Administering and assisting in the co-ordination of the Core Undergraduate Lecture Programme of RCSI
- Staff & Clinical Lecturers and Tutors in all locations.
- Administering and co-ordinator for clinical scheduling on Moodle of Clinical Attachment for all students.
- Co-ordinating student large group tutorials and seminar programme incorporating room bookings.
- Co-ordinating and processing marks for continuous assessment components of the psychiatry rotation
- submitted by Senior Lecturers, Consultants, Lecturers and Tutors and downloading grades from Moodle for online case reports.
- Organizing placements of students for repeat Psychiatry clinical attachments during summer months, when deemed necessary by the Student Progress Committee.
- Assisting in the advertising and support to lecturers for selection of a team to represent RCSI in the annual Spike Milligan Public Speaking Competition.
- Facilitating annual recruitment of Clinical Lecturer and Tutor Posts and ensuring all materials (including course books) and agenda items organised for the Annual Curriculum and Mid Term Curriculum Meetings.
- Compiling and reporting to Departmental Head at intervals regarding annual Departmental Budget and any current Research Grants.
- Preparing & submitting completed payment forms to the Finance Dept., for further processing. This is to facilitate the payment of external Lecturers / Teaching Hospitals based on student numbers taken.
- Monitoring changes in student teaching materials online and in book form and facilitating print runs in a timely fashion.
- Liaising with Departmental staff, Consultants, Tutors, Lecturers, and Research staff regarding their possible
- contribution to the RCSI Annual Report. Drafting of report, adhering to specific format as required.
- Co-ordinating in conjunction with the SARA and Examiners, the administration End of Attachment exams,
- Final Professional Psychiatry Examinations and repeat examinations where necessary.
- Identifying scripts following requests from undergraduate students for rechecks after examinations.
- Co-ordinating and updating of Departmental website
- Contributing to the development of a Quality Assurance culture at RCSI and the Dept. of Psychiatry. Establishing and maintaining the Dept. Head’s Library of published papers
- Assisting in the preparation and submission of research grant applications.
- Ensuring that by the end of the academic term there is no overrun in the Departmental Budget.
- Undertaking other relevant duties as assigned by the Professor or nominee.
- Complying with statutory legislation and Department rules and requirements in furtherance of your own and general staff welfare and safety.
- Undergoing programmes of training and development as may be required from time to time.
- Representing the best interests of the Department/RCSI at all times.
Knowledge & Experience – (Essential):
- Strong organisational and administrative skills with the ability to focus on and produce results and prioritise
- objectives
- Ability to make decisions and meet deadlines
- Ability to work in a team environment as well as on one’s own initiative
- Excellent interpersonal skills
- An effective communication style appropriate to audience and situation
- Proficiency in computer skills including MS Office Suite and word processing skills
- Flexibility to work irregular hours on occasion
- Appropriate discretion in relation to handling confidential matters and / or information
- Experience and a proven track record in a similar role would be an advantage
