Summary of Post
We now seek a full time Administrator to join the RCSI Clinical Research Centre (CRC) based at Beaumont Hospital. This is an excellent opportunity for an individual who wishes to become a key member of a dynamic research office in an innovative and progressive research environment. This role will involve coordinating all aspects of the office administration and will involve working with the CRC Director, Director of Operations and the RCSI Finance Department on finance matters and communications for the CRC. The individual must have experience working in administration and stakeholder communications. The individual will work with experienced research teams including Principal Investigators, Clinical Research Nurses, Sub Investigators and the Senior Management Team of the CRC. Specifically, the duties of the post are:
Administration
- Establishing, maintaining and reviewing all administrative systems in order to devise and implement best practices to facilitate the efficient and timely delivery of all Clinical Research Centre activities
- Responsibility for all aspects of Clinical Research Centre administration
- Co-ordinating the day-to-day activities of the Clinical Research Centre
- Attend weekly meeting with DOO and follow-up as required
- Co-ordinate and minute the bi weekly and monthly team meetings, follow up as required
- Coordinating other meetings such as Governance Board and Patient and Public Involvement meetings as required, i.e. room bookings, catering, liaising with IT support
- Coordination and administration support for organised events such as International Clinical Trials Day events
- Ensuring maintenance of administrative files and records on SharePoint
- Acting as point of contact for the CRC for CRFManager system, overseeing activity and administering support and training to the team on the system
- Acting as site Superuser for the CRF Manager system liaising with the team in UCC CRF for support and administration
- Developing metric reports from the CRFManager system including study set up, staff time, study participant recruitment and participant visits
- Supporting the DOO on the preparation of monthly, quarterly and annual metric reports and ad hoc reports as required
- Managing the RCSI CRC Website
- Managing the CRC Social Media Accounts and External communications for the CRC
- Dealing with enquiries in person or by phone in an efficient and professional manner
- Maintaining the equipment log for the CRC
- Maintenance of office equipment, managing all servicing of equipment in the CRC and maintenance of all service records and calibration logs
- Co-ordination of contract renewals e.g. Servicing and maintenance contracts
- Conference and travel bookings for CRC staff as required
- Purchasing office equipment and clinical equipment, as required
- Stationery ordering for Clinical Research Centre, ensuring adequate stocks are available at all times.
- Master key holder - responsible for allocation of keys to users.
- Liaising with RCSI departments (ORI, HR, Estates, Design, Media Services, Catering) on behalf of CRC, as required.
- Working collaboratively with CRC teams including feasibility, quality, management and clinical to achieve shared goals
- Developing and maintaining excellent working relationships with all internal and external stakeholders
- Adhering to the standard operating procedures and policies for Beaumont Hospital, the Clinical Research Centre and RCSI.
- Participating in CRC safety, general checks, fire safety and quality assurance activities as assigned.
- Carrying out other duties as appropriate to the post as may be assigned from time to time by the CRC Director or Director Of Operations
Financial
- Preparing the Clinical Research Centre annual budget submissions
- Monitoring Clinical Research Centre spending throughout the year in order to ensure that budget allocations are utilized efficiently and effectively
- Examining monthly financial reports with the DOO for the Clinical Research Centre and Clinical Research Centre income and expenditure
- Liaising with P.l.'s, RCSI Post Award Department and RCSI Finance regarding grant account set-up and continuation
- Working with RCSI Finance on the issuing of invoices to Sponsor Companies for study payments to PI study accounts and the onward payment of income to the respective service providers involved in the study in RCSI, Beaumont Hospital and External service providers
- Invoicing as follows: Room hire, desk hire trial/study invoicing
- Liaising with the RCSI Finance Department on all matters related to the Clinical Research Centre
- Maintaining accounts of CRC income and expenditure for all activities including study income, room rental, desk rental and staff time such as study management, nurse and pharmacy time
- Maintaining all financial records
- Preparing financial reports for the CRC Director, DOO and finance Office
Qualifications – (Essential)
- Relevant qualification in office administration / business / Communications
- Relevant qualification in finance/accounting
Knowledge & Experience – (Desirable)
- Experience of working in administration in the academic setting
- Experience of academic grant accounting
- Experience of working in Clinical Research
- Experience of using the Agresso Finance system
- Experience in Communications and Social Media
- Experience of Event Organisation
