At the Veterinary Pathology group (VPG) we are currently recruiting for the role of Administrator based at our site in Cork. We are looking for a highly motivated and friendly individual who will be the first line of contact for our clients.

Duties and Responsibilities
General Administration
- Scan and book in submission forms using the LIMS system, ensure hard and electronic copies filed correctly
- Answering telephone calls – fielding out calls and answering queries appropriately
- Notifying clients of report delays and/or inform clients of additional charges
- Ensure deviations/inaccuracies are kept to a minimum and where found, are recorded
- Input data from external tests into the LIMs system and answering/forwarding queries from external providers
- Updating Client Records as appropriate
- Resolve internal queries regarding charge codes
- Ordering, Packing and shipping supplies for clients
- Giving Laboratory staff, Laboratory Manager and Pathologists administration support as required.
- Assist in managing any remote/onsite pathologists to ensure that they receive the correct numbers of cases at the appropriate time every day and act as their point of contact
- Assist the business development team in providing data and notifying of any concerns raised by clients
- Greeting visitors / Help take in deliveries
- Assist with client relations and client management including using Pathport and Hubspot
Logistics Coordination
- Monitor Emails and phones and book internal/external couriers where appropriate
- Keep courier spreadsheets up to date
- Coordinate with logistics team and Business development team on changes or amendments in courier routes
- Ensure any complaints or missed collections are reported and logged through the correct channels

- Maintain confidentiality of the department and use discretion where necessary.
