Airfield & Fleet Business Support Co-ordinator

Asset Management forms part of the wider Dublin Airport Team. The department’s primary focus is to maintain and manage the assets of Dublin Airport. Applications are now open for an Airfield Asset Management Business Support Co-Ordinator to support the Dublin Airport Fleet Manager and Airfield Asset Management team in line with the Asset Management vision of “keeping people moving through engineering excellence”.

Key Responsibilities:

  • Oracle and PO management support for the airfield (Fleet, Civil & Elec) team.
  • Management of fleet repair job creation and closure through designated CMMS systems / Transpoco (Fleet Mgt Systems).
  • Updating of daa heavy and light fleet service and breakdown records.
  • Service, warranty & bodywork repair scheduling through service provider network.
  • Fleet KPI report generation and distribution to daa business units.
  • Updating and reporting on fuel & electricity usage, carbon output for light and heavy fleets.
  • Support the preparation, development, and management of RAMS.
  • Manage and support department credit card reconciliation.
  • Management & reporting on BPAs and department monthly expenditure.
  • Management and reporting on Fleet Inspection App & EV charger portal.
  • Support with all IAA, SRD, ISO & RSA requests, and audits.
  • Handle consolidated monthly supplier payments (i.e., M50), ensuring reporting of same.
  • Liaise with SSC, suppliers & service providers to resolve any payment/invoice issues.
  • Ensure vehicle road tax compliance though online, post or in person renewals.
  • Assist fleet team with collection and movement of vehicles and associated equipment.
  • Maintain and manage hard and soft copy documents for vehicles and equipment including, VRT exemption request, logbooks, CVRT, Tax, User manuals, deliveries etc.
  • Lead up Airfield Asset Management SharePoint development vs Hardcopy filing system.
  • Tracking of the OPEX spend for the department (Reporting of spend for Civil, Elec and Fleet Teams & Exceptional events i.e., Snow).
  • Provision and procurement of essential office needs (i.e., paper, stationary, tea, coffee etc.)
  • Support the airfield team winter operation and airfield winter teams during snow events.
  • Ensure a collaborative working ethos within Asset Management and all relevant airport stakeholders.

Knowledge, Skills & Experience:

  • Minimum of 2 years in similar role.
  • Full Clean Driver licence holder.
  • Fully competent in Microsoft Office Applications (Excel, Word, Outlook, PowerPoint).
  • Proven recorder of data management and reporting.
  • Experience within or knowledge of the motor industry is a preference.
  • Experience of working in a highly regulated and/or safety critical working environment.
  • Ability to communicate efficiently and effectively.
  • Always acts with honesty and integrity.

  • Maintains composure and optimism in challenging situations.
  • Manages own workload and work life balance to minimise stress.
  • Ability to accept and adopt to new technology and IT Software
