The Role
We are looking for a highly organised, hands-on Assistant Office Manager / Business Administration
Manager to support the day-to-day running of a busy office.
This is a varied role with responsibility across administration, finance, HR, compliance, reporting,
systems and general business support. The successful candidate will be someone who can take ownership, work independently and keep things moving without needing to be constantly directed.
This is a fast-paced, hands-on role where priorities can change quickly and no two days will
necessarily be the same.
Key Responsibilities
·Support management with the efficient day-to-day running of the office.
·Manage general administration, correspondence, documentation and records.
·Use Xero for finance and accounts administration, including invoices, expenses, payments and reporting.
·Assist with accounts, VAT, debtors/creditors, financial administration and information required by accountants/revenue.
·Maintain compliance, certification, insurance, licence and renewal records and ensure deadlines
are met.
·Prepare information and documentation for audits, inspections and certification requirements.
·Support HR administration, including employee records, onboarding, training, holidays, absences and documentation.
·Prepare management reports, spreadsheets, trackers and other information as required.
·Coordinate suppliers, customers and external contacts where required.
·Track outstanding actions and ensure they are followed through to completion.
·Assist management with projects, process improvements and other business requirements.
·Take on additional responsibilities as required to support the effective running of the business.

Experience
Essential:
·Previous experience in an Office Management, Senior Administration, Business Administration or similar role.
·Experience working in a busy office environment.
·Strong administration and organisational skills.
·Experience with Xero.
·Strong Excel/Microsoft Office skills.·
Competent using AI tools such as ChatGPT and Claude
·Experience dealing with finance/accounts administration.
Desirable:
·Experience with LOGR or a similar ERP/business management system.
·Experience with HR administration.
·Experience managing compliance, certifications and audits.
·Experience producing management reports.

The successful person will become a key support to management, taking ownership of the
administration and business support function and ensuring that important tasks,
deadlines, compliance requirements and paperwork do not fall through the
cracks.
