Overall Role and Context

South East Technological University (SETU) wishes to recruit an Assistant Staff Officer to support in Academic Timetabling. The role is integral to the proper administration function of the Academic Administration and Student Affairs Office. Working with Heads of Department and the Faculty Offices, the successful candidate will be centrally involved in the administration and processing of Academic Timetabling across multiple departments. This key administration post will be based on the Carlow Campus.

SETU is seeking to recruit an Assistant Staff Officer to provide administrative support to the academic Heads of Department in the area of Academic Timetabling.

The successful candidate will work collaboratively with Heads of Department, the Faculty Offices, and other relevant stakeholders. They will play a central role in the coordination, administration, and processing of academic timetables across multiple departments. This position is integral to ensuring the smooth and effective scheduling of teaching and learning activities, helping to maintain an organised and student-focused academic environment.

Principal Duties and Responsibilities

Timetabling

  • Responsible for the administration and processing of Academic Timetabling.

  • Responsible for the scheduling and room allocation of all core module teaching requirements according to the Approved Programme Schedule.

  • Monitor the allocation of all teaching and learning spaces on campus.

  • Responsible for the resolution of any technical issues arising from the allocation of teaching space.

  • Monitor and report on the quality of timetabling data as well as providing usage data.

  • Ensure timetabling is conducted in accordance with the university’s policies and procedures.

  • Engage with the Heads of Departments and Office of Academic Affairs on timetabling-related items.

  • Manage correspondence for relevant timetable-related queries from staff and students.

  • Engage with the Office of Academic Affairs on projects related to the development of a new centralised timetabling system.

The above provides a broad outline of the duties and responsibilities attached to the position as currently envisaged. These may change over time in the context of evolving University objectives and organisational restructuring.

Person Specification – Qualifications, Knowledge, Experience & Skills
  • Have obtained at least Grade D3 in five subjects in the Leaving Certificate Examination (higher, ordinary, applied or vocational programmes) or equivalent, or have passed an examination at the appropriate level within the QQI qualifications framework which can be assessed as being of a comparable to Leaving Certificate standard or equivalent or higher, or have appropriate relevant experience which encompasses equivalent skills and expertise.

  • Analytical and numerical ability, with strong attention to detail.

  • Excellent computer skills with a good working knowledge of Microsoft Office packages (Word, Excel, Outlook, etc.) and use of other IT systems.

  • Have successfully completed their probation period or have successfully completed a probation period at a lower eligible grade.

  • A relevant Honours degree (first or second class).

  • Excellent oral and written communication skills.

  • Strong interpersonal and organizational skills.

  • Flexibility and a positive attitude towards change.

  • Evidence of working as a team player.

  • An ability to deal with confidential matters.

  • A commitment to advancing equality, diversity and an inclusive community.

Terms and Conditions

Hours of Work: The appointee will be required to work 35 hours per week together with any such additional hours as may be required for the proper discharge of their duties.

Salary: Assistant Staff Officer Salary Scale: €38,217 – €54,367

Annual Leave: 23 days annual leave. Annual leave will be in accordance with arrangements authorised by the Minister for Further and Higher Education, Research, Innovation and Science from time to time.
