Business Administration Apprentice (Museum)

Lisburn & Castlereagh City CouncilAntrim£12.45 per hour

SALARY: Scale 1A Point 3 £12.45 per hour KEY PURPOSE OF THE JOB: The post holder will be required to complete a Level 3 Apprenticeship in Business Administration with Belfast Metropolitan College. As a member of the Museum Team, the successful candidate will provide administration support to the museum staff and support programmes and events which enhance the museum visitor experience.

KEY DUTIES AND RESPONSIBILITIES The following duties are typical for this role. The post-holder may not perform all of the listed duties and/or may be required to perform additional or different duties from those set forth below to address business needs and changing business practices. 1. Assist in the provision of a comprehensive administrative and archiving service to support staff in the Irish Linen Centre & Lisburn Museum. 2. Provide a high-quality customer service to visitors to access the various elements of the service in line with Council policies and processes 3. Assist in the organising and delivery of a range of events including, exhibition openings, annual festival days and the museums seasonal events programme 4. Assisting with production of monthly, year end and regular reports, statistics and surveys as required, including collating statistical material to be supplied various managers within the organisation, other Council departments /committees or external bodies. 5. Contribute to the development and implementation of effective marketing and communication strategies for events, including contributing to social media platforms and maintaining mailing lists. 6. Provide reception coverage in Front of House (FoH) areas as needed. 7. Handle and sell museum shop stock, including managing stock control and merchandising. 8. Assist in monitoring and maintaining records of event attendees to allow performance to be assessed against Key Performance Indicators (KPIs).

General duties 9. Undertake identified and approved training activities/updates and maintain the required skill level to carry out the requirements of the post. 10. Ensure the provision of high standards of customer care across all the services provided by the Unit and promote and manage the service effectively and communicate in a way, which enhances and promotes the public image and overall reputation of the Council. 11. Ensure compliance with Council policies and procedures, including Safeguarding, Health & Safety and Equality Legislation, and operate within the highest standards of organisational skills and personal behaviour, which reflect the core values and behaviours of the organisation. 12. Promote equality of opportunity and access in service delivery. 13. To undertake other delegated duties appropriate to the post as reasonably assigned by management.

Note: The post holder should be aware that the responsibilities and functional areas of the post may be subject to change as a result of organisational change. The Council therefore reserves the right to change the duties of the post by adding to or amending the range of functional responsibilities. The post holder will be required to be flexible and adaptable to meet the changing needs and requirements of the organisation. Qualifications and Experience It is essential that applicants have a minimum of: 1.1 5 GCSE’s Grades C or above including English and Maths, or equivalent. 1.2 Competent in Microsoft Office Applications including Excel, Word, PowerPoint and Outlook. 2.1 It is essential that candidates have a basic understanding of the work of the Community Services Unit and a keen interest in the administration duties in general.
