HX26-096 Grade III Clerical/Administrative Officer – Community Reablement Unit (Permanent)

The Grade III Clerical/Administrative Officer will provide an efficient and comprehensive administrative service to the Community Reablement Unit.
The postholder will support the administration of both inpatient and outpatient services and work closely with nursing staff, nurse managers, members of the multidisciplinary team and other healthcare services.
The role includes managing healthcare records, processing referrals and appointments, typing correspondence, maintaining ward stationery supplies, completing nursing staff time entry when required and providing general administrative support to the nursing management team.
Working arrangements:
- This position is based fully onsite at the Community Reablement Unit in Harold’s Cross.
- The required working hours are 8:00 a.m. to 4:00 p.m., Monday to Friday.
- This is an onsite position. Working from home or hybrid working is not available.
- Due to the operational requirements of the inpatient and outpatient services, the postholder must be available to work the stated start and finish times.
Essential Requirements
Qualifications:
- A Leaving Certificate or an equivalent recognised qualification.
- A recognised secretarial, business administration or ICT qualification.
Experience:
- ·This role will have a set work pattern and the successful candidate must be able to attend the workplace reliably for the fixed 8:00 a.m. to 4:00pm commencement and closing time.
- A minimum of three years’ office, clerical or secretarial experience gained within the previous five years.
- Proven proficiency and practical experience using Microsoft Word and Microsoft Excel.
- Experience maintaining accurate records and managing confidential information.
- Good written and verbal communication skills.
- Strong typing, administrative and organisational skills.
- Excellent accuracy and attention to detail.
- The ability to prioritise competing tasks and meet deadlines.
- The ability to work independently and as part of a multidisciplinary team.
- A clear understanding of GDPR, confidentiality and discretion.
- A professional and respectful approach when communicating with patients, staff and healthcare professionals.
Desirable Requirements
Qualifications:
- A full clean driver’s license and access to appropriate transportation
Experience:
- Previous clerical or administrative experience in a hospital, ward or community healthcare setting.
- Experience supporting inpatient and outpatient services.
- Experience processing healthcare referrals and appointments.
- Experience using electronic patient-record or healthcare information systems.
- Experience providing administrative support to nursing staff or nurse managers.
- Experience using electronic staff time-entry, rostering or payroll systems.
- Experience managing stationery orders or office supplies.
- Knowledge of healthcare terminology and healthcare-records procedures.
