The Role

The successful candidate will have responsibility, under general direction, for coordinating the efficient day to day work in their functional area, to ensure targets and service levels are achieved.

Qualifications / Experience

Candidates must have at the date of closing:

  • Have the requisite knowledge, skills and competencies to carry out the role.
  • Competencies will be informed by best practice Public Appointment Service competency frameworks for the Irish Public Service.
  • Be capable and competent of fulfilling the role to a high standard.
  • Have obtained at least Grade D3 or H6 / O6 in five subjects in the Leaving Certificate Examination (higher, ordinary, applied or vocational programmes) or equivalent or have passed an examination at the appropriate level within the QQI qualifications framework which can be assessed as being of a comparable to Leaving Certificate standard or equivalent or higher or have appropriate relevant experience which encompasses equivalent skills and expertise.

Desirable:

  • Proficiency of the MS Office applications, especially Word, Excel, Outlook etc.
  • Evidence of a high level of experience together with knowledge of administrative function.
  • Ability to manage / prioritise deadlines.
  • Knowledge of record keeping and file management.
  • Knowledge of GDPR.

Principal Duties and Responsibilities

The appointee may be assigned to any of a very wide range of the clerical and administrative support carried out within the Faculty of Science and Healthcare, as outlined below. Simpler duties will be offered to those who may be successfully recruited from the panel during its timeframe.

  • Provide general office support, respond to queries and deliver a telephone service, via TEAMs.
  • Maintain accurate up to date records, filing systems and records, both digital and paper based on relevant databases as required.
  • Manage data effectively, including maintaining, correcting and processing information.
  • Develop and maintain the skills and expertise required to perform the role effectively, relevant technologies, IT systems, spreadsheets etc.
  • Assist in preparation of reports and documentation as required.
  • Handle all communications professionally and confidentially, in full compliance with GDPR.
  • Minute taking at Faculty and Departmental meetings.
  • Undertake additional administrative tasks and assignments as directed by your line manager.
  • Stay informed on current student policies, procedures, guidelines and practices to ensure effective performance of the role.

The duties outlined above are not intended to represent an exhaustive list. The post holder may be required to undertake additional responsibilities appropriate to the role of a Grade III Clerical Officer, as assigned from time to time.

Superannuation

These will be pensionable posts. Specific details of the scheme will be dependent on the successful appointee’s individual status and therefore such details will be provided at the time of appointment.

Applicants should note that they will be required to complete a Pre-Employment Declaration to confirm whether they have previously availed of an Irish Public Service Scheme of incentivised early retirement or enhanced redundancy payment.

Applicants will also be required to declare any entitlements to a Public Service pension benefit (in payment or preserved) from any other Irish Public Service employment.

Hours

35 hours (net of rest breaks).

Annual Leave

22 days per annum. CL 0009 / 2014 will apply.

Salary Scale

€31,619 - €48,925 (17 points) new entrant scale €33,799 - €48,925 (15 points)

For persons entering recruitment grade for the first time, starting pay will be at the minimum of the scale i.e. €31,619.

The rate of remuneration may be adjusted from time to time in line with Government pay policy.
