Job SummaryThe purpose of this role is to provide high-level administrative support to Waterford and Wexford Education and Training Board (WWETB). The successful candidate will assist in delivering quality services in line with the organisation's remit, working collaboratively with colleagues across WWETB and the wider community, including schools and Further Education and Training Centres.
WWETB is committed to continually improving the quality and effectiveness of its services and systems, spanning multiple functions including Schools, Further Education and Training Centres, Finance, Human Resources, and Corporate Services. The responsibilities of this role will support these efforts, as detailed below.
The successful candidate will work as part of the QA Team. Their principal duties will include administration associated with assessments for training programmes and other administrative projects relevant to the Quality Team and Further Education and Training provision, at the discretion of the Quality Manager.
Key ResponsibilitiesThe Clerical Officer plays a vital role in providing administrative support and ensuring smooth operations within the assigned area. Working closely with line managers and colleagues, the successful candidate will contribute to service delivery and the achievement of organisational goals.
Maintenance of various databases; inputting information accurately and efficiently
Scheduling, creating, and issuing secure exam test packs
General typing and printing as required
Accurately noting and minuting meetings and issuing minutes as appropriate
Acquiring quotes, ordering, and maintaining stationery
Providing reader/scribe learner support as required
Travelling as needed and performing other appropriate duties as required
Working as part of a close-knit team within the department
Answering main telephone lines and performing reception duties when required

Essential RequirementsApplicants must demonstrate the following:
Possess the requisite knowledge, skills, and competencies to carry out the role, informed by best practice Public Appointment Service competency frameworks for the Irish Public Service
Have obtained at least Grade D3 in five subjects in the Leaving Certificate Examination (higher, ordinary, applied, or vocational programmes) or an equivalent qualification
Alternatively, possess a QQI qualification at a comparable or higher level, or have relevant experience demonstrating equivalent skills and expertise
Be capable and competent to fulfil the role to a high standard
Be at least 17 years of age on or before the date of the recruitment advertisement
(Used for shortlisting if a high volume of applications is received)
Prior experience working in an education or training environment
Experience working with finance or creditor systems (e.g. P2P), including ordering and invoicing
Strong IT skills and/or qualifications, including Microsoft Office, document preparation, and database entry
Excellent organisational, administrative, and IT skills
Ability to work on own initiative within a flexible, cooperative team structure
Proficiency in MS Office (Word, Excel, PowerPoint)
Curious and inquisitive with a willingness to learn
Ability to work under pressure
Self-motivated, flexible, and results-focused
Strong prioritisation and time-management skills in a dynamic, fast-paced environment
Proven ability to work effectively as part of a team
Goal-oriented with a focus on completing work comprehensively

A citizen of the European Economic Area (EEA) (EU Member States, Iceland, Liechtenstein, Norway)
A citizen of the United Kingdom
A citizen of Switzerland under the EU-Swiss free movement agreement
A non-EEA citizen who is a spouse or child of an EEA or Swiss citizen and holds a Stamp 4 visa
A person awarded international protection under the International Protection Act 2015 (or a family member entitled to remain under family reunification) with a Stamp 4 visa
A non-EEA citizen who is a parent of a dependent child who is a citizen and resident of an EEA member state or Switzerland, holding a Stamp 4 visa
