What is the Role:
This is an ideal position for a motivated individual who is passionate about delivering value to our key stakeholders and working in a collaborative environment.
The Company Secretarial team provides professional corporate governance and secretariat services to the Chair, Board of Directors, and Subsidiary Entities, and promotes best practice in corporate governance in line with AIB’s policies and guidelines, regulatory, statutory and listing requirements, company law and market practices.
This role requires initiative, attention to detail and excellent communication skills. You will also need to effectively manage relationships, to work with senior executives, and be able to learn and adapt quickly
Key accountabilities.
- Assisting Committee Secretaries in the publication of Board Committee meeting materials on Diligent for our internal stakeholders and on Intralinks for our external stakeholders.
- Supporting Committee Secretaries in delivering a fit for purpose meeting administration process for the Board Committee meeting arrangements.
- Support the Company Sealing process.
- Provide support for projects, ad-hoc requests and business as usual activity within the Business Enablement stream including cost centre related activities.
- Assist and contribute to risk and control activities within the Company Secretarial team.
- Contribute to and provide cover for certain administrative activities including supporting the Executive Assistant to the Board when required.
- Support the Office of the Company Secretary Management Team as required.
- Create and prepare a variety of documents using Microsoft Excel, PowerPoint and Word.
- Support administration and access control related to the Diligent and Intralinks corporate governance platforms.
- Deal with all queries and requests in a courteous manner, filtering contact as agreed and appropriate.
- Work with the most senior levels in the organisation.
- Continuously acquire new competencies and accept new challenges.
- Offer suggestions and improvements to existing processes and champion them through to implementation.
- Work with highly sensitive material and information with discretion and confidentiality.
- Ability to be flexible in response to changing priorities and needs.
