Corporate Event Coordinator

LOCATION: Queen’s Quay, Belfast, BT3 9QQ
REPORTING TO: Business Development Manager
TERMS: 37.5 Hours per Week, flexibility is required due to the nature of the role.

OVERALL PURPOSE OF THE JOB

This is an exciting and dynamic role at the heart of W5's events operation. As Corporate Events Coordinator, you will be responsible for the planning, coordination and delivery of corporate events, conferences, meetings and bespoke experiences, ensuring the highest standards of customer service and event execution.

Working closely with colleagues across Operations, Exhibition and Content, Food & Beverage, Learning & Engagement and Experience teams, you will manage corporate client relationships, coordinate event logistics, and support the successful delivery of W5's wider events programme. While maintaining a primary focus on corporate events, the role will also provide support across seasonal and other W5 events, helping to ensure consistency, efficiency, knowledge sharing and delivery of the Best Experience Every Time (BEET).

Essential Criteria
  • Minimum 1 year's experience in an events coordination, hospitality, tourism, venue or customer-facing operational role.
  • Experience coordinating multiple projects or events simultaneously while maintaining high standards of organisation and attention to detail.
  • Proven ability to build and maintain positive relationships with clients, suppliers and colleagues.
  • Excellent organisational, communication and administrative skills.
  • Strong problem-solving abilities and the capacity to remain calm under pressure.
  • Experience using Microsoft Office applications and event management, booking or CRM systems.
  • Ability to work flexibly, including evenings and weekends when required.
  • Access to personal transport or ability to attend meetings and events off site.

Desirable Criteria
  • Experience coordinating corporate events, conferences, hospitality or visitor attraction events.
  • Experience working across multiple departments to deliver successful projects or events.
  • Knowledge of venue operations and event logistics.
  • Experience using CRM systems and event reporting tools.
  • Qualification in Event Management, Hospitality, Tourism, Business Administration or a related discipline.
  • Knowledge of hybrid or virtual event platforms including Teams and Zoom.

Salary
Circa £27,000 per annum dependent on experience
