Contracted Hours: Full-Time, 39 Hours per week (Monday to Thursday 8.00am-5.00pm, Friday 8.00am-1.00pm, alternate Fridays working from home starting at 12 & finish 5pm)
Location: Duncrue Crescent, Belfast
Salary: £26,040 per annum (£28,644 OTE)

About the Role:
Are you an organised and detail-oriented individual with a passion for ensuring smooth operations? We’re seeking a proactive and reliable Distribution & Customer Care Administrator to join our team. In this key role, you’ll provide vital administrative support to ensure our warehouse runs like clockwork.

As a Distribution & Customer Care Administrator, you’ll be responsible for maintaining accurate records, managing stock data and coordinating with internal teams to ensure efficient processes. Key Responsibilities:
  • Maintain accurate and up-to-date stock records and input data into warehouse systems.
  • Coordinate with warehouse staff and management to ensure smooth daily operations.
  • Process incoming and outgoing deliveries, ensuring all documentation is accurate and complete.
  • Handle administrative tasks such as filing, report preparation and email correspondence.
  • Assist in tracking inventory levels, resolving discrepancies and generating stock reports.
  • Liaise with suppliers, couriers and customers to manage delivery schedules and queries.
  • Support health and safety compliance by maintaining relevant records and documentation.
  • Answer customer, store and supplier queries on the phone and via email. 
  • Take ownership of customer complaints tracking through to resolution.
  • Negotiate commercially with customers and suppliers.
  • Arranging delivery dates with customers.

About You:
  • We’re looking for a dedicated and organised professional with the following skills and attributes:
  • Previous experience in an administrative role, ideally a warehouse or logistics environment with strong customer service skills.
  • Strong IT skills, with proficiency in Microsoft Office (Excel, Word, Outlook) and warehouse management systems.
  • Excellent attention to detail and a high level of accuracy, while thriving in a high volume environment.
  • Strong organisational and time management abilities, with the capacity to handle multiple tasks effectively.
  • Good communication and interpersonal skills for liaising with teams and external contacts, both written and verbal.
  • A proactive and problem-solving mindset with the ability to work independently.
  • Customer focused approach.
