The Role:

The Organisational Risk and Resilience Team is responsible for developing and implementing Uisce Éireann’s Organisational Risk Management, Policy and Framework and assisting the business in ensuring that appropriate risk management processes are in place to identify, measure, monitor and report their risk profile. The function ensures that an appropriate resilience (Crisis Management and Business Continuity) policy and framework designed, implemented and is operated across the organisation to minimise the impact of a business continuity or crisis management events. The function will also support the development of the UÉ management systems model in line with ISO standards and including the provision of its core support processes (CAPA/Doc Control) 

Reporting directly to Management Systems Technical Manager in the Resilience and Management Systems team, the Document Control Lead will be responsible for managing the Uisce Éireann Document Control Process.

Main Duties and Responsibilities:

  • Responsible for managing the Uisce Éireann Document Control Process.

  • Responsible for the review & approval of the Uisce Éireann Document Framework, including document definitions, hierarchies and associated procedures.

  • Manage a team of Document Controllers, direct their daily efforts and promote growth and continuous improvements.

  • Support the Management Systems Technical Manager in all areas related to Document Control. 

  • Responsible for working with the Management Systems Technical Manager to draft strategies to meet all objectives. 

  • Support and advise on document revision programmes with the appropriate stakeholders.

  • Ensure support and guidance is provided to document creators, reviewers and approvers including participation as a subject matter expert at related working groups.

  • Provide data and reporting on aspects of Document Control to relevant stakeholders within Uisce Éireann. 

  • Develop and provide training in the use of the Uisce Éireann Document Control Process. 

  • Responsible for achieving and reporting on all KPI’s associated with the Document Control process.

  • Assist in the completion of Management Systems audits across Uisce Éireann.

  • Proactively drive process improvement for the Document Control Process. 

  • Support Resilience and Management Systems & business wide projects in relation to controlled document development.

  • Responsible for identifying potential risks and escalate to the Management Systems Technical Manager when required.

  • Support the effective delivery of the Management Systems strategy.

  • Manage the external standards procurement and control process.

  • Actively promote the culture and benefits of Document Control throughout the business.

  • Responsible for carrying out any other duties deemed necessary and/or required, which the Management Systems Technical Manager may reasonably request.

General Duties and Responsibilities 

  • Collaborate with key internal stakeholders across Uisce Éireann, including but not limited to; Asset Management, Asset Operations, Business Services, Infrastructure Delivery

  • Support the delivery of the Uisce Éireann Transformation Programme, driving results required within the Directorate and supporting organisation-wide objectives.

  • Provide visible leadership for your team, coaching and developing them to achieve their full potential and deliver business objectives, promoting collaboration and highlighting the behaviours that are expected from everyone in the team.

  • Conducts duties and responsibilities in accordance with Uisce Éireann’s Information Security policies, standards, processes and controls to protect the confidentiality, integrity and availability of Uisce Éireann

  • Business information and delivery of critical services, in accordance with the NIS Directive and any other relevant cybersecurity regulation

  • Other duties as required.

Knowledge, Skills and Experience:

  • Relevant third level qualification and or accreditation is desirable and or relevant experience

  • Experience in a complex organisation, with 5 years in document management or a similar management systems role. 

  • Strong IT Skills including: Microsoft Excel, Word and PowerPoint skills. 

  • Minimum of 2 years management or supervisory experience ideally in the Utility / large multinational industry. 

  • Experience of Quality Management Systems operating to ISO 9001 an advantage. 

  • Knowledge of Enterprise Content Management Systems (ECM) is an advantage. 

  • Demonstrated people management experience, with strong people, change management and conflict resolution skills

  • Ability to continuously develop and improve ways of working and points of escalation for customer issues to ensure our customers and communities receive high levels of service standards

  • Demonstrated people management experience, guiding a team to work together and offer support to make the right decisions

  • Experience of monitoring adherence to policies and controls and leading teams to work to the highest ethical and professional standards

  • Demonstrated experience of influencing teams to aim for and achieve high standards by setting clear goals and direction in line with business strategy

  • Experience in identifying safety and well-being improvement initiatives and ensure team safety and well-being goals are met.
