Specifics of the Job

This position is based in Cork and will provide administrative and operational support to the Southern Region EHS Team across a range of projects and business activities.

The successful candidate will work closely with the Regional EHS Manager and EHS Coordinator to support the effective administration and continuous improvement of the Company's Environmental, Health and Safety Management System.

The role will focus on providing administrative support across EHS digital systems, reporting, safety campaigns, communications, training administration, document control, certification activities and general departmental support.

Overview

The EHS Administrator will support the day-to-day operation of the EHS Department, helping to ensure records, systems and documentation are maintained to a high standard.

The successful candidate will provide administrative support to the EHS Team across digital platforms, training administration, compliance records, reporting, safety communications, audit preparation and certification activities. The role will assist with the delivery of company-wide EHS initiatives while helping to ensure records and supporting documentation are maintained accurately and efficiently.

Key Duties

  • Provide administrative support to the Southern Region EHS Team.
  • Maintain EHS registers, records, trackers and databases.
  • Provide administrative support for EHS digital platforms including Procore, Skillko, FlowForma, SharePoint and other company systems.
  • Assist with the preparation and distribution of EHS reports, KPI information and management presentations.
  • Support the coordination of safety campaigns, behavioural safety initiatives, wellbeing programmes and employee engagement activities.
  • Assist with newsletter submissions, safety alerts, lessons learned communications and other EHS communications.
  • Assist with the administration of training records, competency tracking and training gap analysis.
  • Support site induction administration and onboarding activities.
  • Assist in the preparation and issue of toolbox talks, presentations, posters and other safety awareness materials.
  • Support document control activities relating to EHS records, inspections, audits, permits and compliance documentation.
  • Support the EHS Team with internal and external audit preparation activities.
  • Assist with the administration of Safe-T-Cert, NSAI and other certification requirements.
  • Assist in the preparation and collation of documentation required for management system audits and management reviews.
  • Support the tracking of audit findings, corrective actions and continuous improvement actions.
  • Assist in maintaining EHS policies, procedures, forms and associated documentation.
  • Assist with the preparation of tender submissions, pre-construction EHS documentation and Construction Stage Safety & Health Plans, where required.
  • Liaise with project teams to ensure EHS records and supporting documentation are maintained and readily available.
  • Support award submissions, best practice initiatives and continuous improvement programmes.
  • Provide general administrative support to the EHS Team and wider business as required.
  • Promote the Company's goal of maintaining a healthy safety culture.

Skills / Experience Required

  • Relevant qualification in Business Administration, Health & Safety, Digital Systems, Project Administration or a related discipline.
  • Previous experience in an administrative, compliance, coordinator or support role would be an advantage.
  • Excellent IT skills with strong proficiency in Microsoft Office, particularly Excel, Word, PowerPoint and SharePoint.
  • Experience using digital management systems and online platforms.
  • Strong organisational skills with the ability to manage multiple tasks and deadlines.
  • Excellent attention to detail and document control skills.
  • Strong written and verbal communication skills.
  • Ability to prepare reports, presentations and communications to a high standard.
  • Ability to work on own initiative and as part of a team.
  • Strong interpersonal and stakeholder management skills.
  • Experience maintaining records and documentation within compliance or management systems would be beneficial.
  • Knowledge of Safe-T-Cert, ISO Management Systems, NSAI certification requirements or audit processes would be an advantage.
  • Full clean driving licence desirable.
