About The Department of Foreign Affairs and Trade (DFAT)
The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high-quality overseas aid program and helping Australian travellers and Australians overseas. The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional, and bilateral interests.
About the position
The Embassy Driver and Administrative Assistant position provides safe, reliable, and timely transport services to the Ambassador, staff and visitors. The position is also responsible for a range of tasks including coordinating with the Ambassador’s Executive Assistant on associated driving commitments, maintaining the vehicles, answer routine phone/email enquiries regarding Australian passports, consular and notarial services, visas and other administrative support for events and key Embassy engagements as directed.
The key responsibilities of the position include, but are not limited to:
Drive the Ambassador, staff and other guests to official engagements, functions, or activities in accordance with Embassy policy and procedures, Irish road rules and relevant government guidelines. This includes events outside of normal business hours and on weekends and public holidays as required.
Co-ordinate with the Ambassador’s Executive Assistant regarding the Ambassador’s schedule associated driving commitments, as well as planned absences of the Driver.
Provide advice on transport arrangements for meetings, events and visits, including the preparation of transport plans and travel routes.
Maintain the vehicle including arranging regular servicing, maintenance and repairs and ensure accurate vehicle records including running sheets, insurance (NCT and named drivers), registration and fuel purchases.
Assisting reception staff with managing official correspondence and deliveries
Answer and resolve routine enquiries regarding Australian passports, notarial services, visas and other areas of information.
Provide other administrative support for events and key embassy engagements as directed.
Required Qualifications/Experience
Must hold a valid Irish/EU driving license with a safe driving record and previous driving/chauffeur experience.
Extensive knowledge of road/traffic systems in Dublin and surrounds and an ability to read maps, use GPS equipment, smart phone mapping applications and follow directions.
General administrative knowledge and use of Microsoft Windows/Office applications.
Ability to maintain confidentiality and exercise discretion and judgement.
Excellent organisational and self-management skills, and the ability to work flexibly, both in a small team as well as independently - initiative is essential.
Excellent written and oral communication skills in English.
Ability to contribute to effective service delivery, by providing a flexible, courteous, prompt and efficient service, to a wide range of stakeholders.
Ability to work harmoniously with other team members in a busy environment by demonstrating flexibility, reliability, adaptability, initiative and resourcefulness.
A valid residence permit/citizenship allowing employment in Ireland.

The position requires a willingness to work flexibly outside standard business hours. The occupant of the position is required to coordinate working hours with other staff to enable full coverage of official representative activities.
Selection Criteria

A. Strong customer service and interpersonal skills to facilitate and promote effective interactions with internal and external stakeholders.
B. Evidence of previous driving experience and demonstrated ability to maintain appropriate etiquette and protocol.
C. Possession of a valid Irish driver’s licence. Demonstrated knowledge of traffic regulations and local traffic conditions. Excellent knowledge of roads and routes in Irish and ability to use GPS navigation equipment.
D. Proficiency using IT software programs, including the Microsoft Office suite, and electronic documents and databases.
E. Ability to work effectively with other team members in a busy, processing environment by demonstrating flexibility, reliability, adaptability, initiative and resourcefulness.
