The Purpose of the Role

The Enquiries Officer will play a central role within the Enquiries Office, serving as a key point of contact for the College community and the public. The postholder will manage a broad range of internal and external enquiries, support the coordination of non-timetabled activities and events, and facilitate room bookings across campus in line with College policies and values.

The role requires progression of enquiries through appropriate College stakeholders to ensure accurate, timely and policy-compliant outcomes. The Enquiries Officer will also support the oversight of event related documentation, including health and safety compliance, and provide administrative assistance to ensure the smooth operation of the Enquiries function.

This is a varied and challenging role, within a busy service environment. The successful candidate will demonstrate initiative, adaptability, strong organisational skills, and a commitment to providing excellent customer service in a pressurised setting.

Context

The Enquiries Office is integral to the daily operation and public interface of the College. Located under the Front Arch, it acts as the public face of Trinity College Dublin and serves as the first point of contact for walk-in visitors, telephone calls and general email enquiries.

The Office provides guidance and support to Schools, Departments, student societies and members of the public. As part of the Central Events & Commercial Revenue Unit, the team contributes to the coordination of academic and commercial activity across campus.

The role involves managing a high volume shared inbox, particularly during peak periods in the academic calendar, and requires close collaboration with administrative and operational colleagues throughout the College.

Main Responsibilities

• Act as the front of house for the university; responding to enquiries in person, by phone and via Enquiries email.

• Coordinate room bookings for academic staff, administrative units and student societies.

• Liaise with College stakeholders to support event delivery, including Catering, Estates and Facilities, Safety, Insurance, Junior Dean, Senior Dean and Academic Registry.

• Ensure adherence to established processes, response times and data management protocols.

• Accurately record and disseminate event information through KX and CMIS software.

• Collate and review required Health and Safety information, including Risk Assessments and Safe Systems of Work, where required.

• Provide administrative support in relation to invoicing, reporting and event documentation.

• Support the Head of Central Events and other team members within the unit, and undertake additional duties or projects as assigned.

Person Requirements

The successful candidate will require the following knowledge, skills and attributes for successful performance in the role:

Qualifications:

• Leaving Certificate, or equivalent, is essential.

• A relevant diploma or professional qualification is desirable.

Experience & Knowledge:

• Experience of working within a fast-paced administrative and operational service-led or hospitality environment.

• Experience of working with multiple stakeholders and delivering to deadlines is essential.

• Excellent knowledge and experience of the College’s administrative procedures is essential.

• Experience responding to customer queries in person, by phone and by email.

• Experience in event coordination or administration is desirable.

Skills:

• Strong customer focus with a proactive, solutions-focused attitude.

• Evidence of a high level of IT competency, including experience with booking systems.

• Excellent organisational skills with strong attention to detail and accuracy.

• Strong interpersonal and communication skills, both written and verbal.

Personal Attributes:

• Flexible approach to working hours, with occasional requirement to work outside standard office hours.

• Ability to take ownership of issues and proactively follow through to resolution.

Salary:

This appointment will be made on the Executive Officer Merged Salary Scale (€34,363 - €52,754 per annum) at a point in line with current Government pay policy.
