Events Officer
SALARY/GRADE: Band 4 (£25,992-30,559) per annum
MAIN DUTIES & RESPONSIBILITIES
Marketing Support Services for Events and Recruitment Campaigns
Event Management and Co-ordination
To lead on the organisation and delivery of events including Open Days, Graduation, and attendance at key external events such as Careers Conventions which includes:
• Event research, planning, development, implementation on time and on budget.
• Project management of each event to ensure it is planned and executed well.
• Liaising with key college staff to ascertain event requirements and staffing.
• Sourcing and booking internal and external venues, completing risk assessments and room set ups as required.
• Ordering all hospitality within agreed budgets.
• Placing orders for any required branded conference/events materials/displays and banners, within agreed budgets.
• Maintaining inventory of merchandise stock for centre.
• Arranging collection and shipping of event materials to the appropriate venues.
• Maintaining events databases – inputting/confirming delegate registrations etc.
• Co-ordination of event registrations, internal and external queries etc.
• Liaising with Design team regarding the events and promotional literature requested by the events and recruitment officers and assist in the proofreading and sign-off of same literature.
• Providing support to the key marketing and communications processes underpinning events and recruitment campaigns.
• Providing administrative support for event and recruitment campaigns and other key College corporate communication and marketing activities.
• Liaising with College staff, as required, in relation to the marketing and promotion of key recruitment campaigns and college events.
School Liaison Marketing
• Work closely with the Publications and Outreach Officer on the coordination and attendance of the schools talks and attendance at external career events and conventions.
• Attend school talks throughout the year, presenting to schools the HE and FE talks.
• Work closely with the Publications and Outreach Officer in research aligned to school talks.
• Work closely with the Publications and Outreach Officer on direct marketing campaigns.
Digital Marketing
• To provide updates about recruitment marketing events to the Digital Marketing Officer.
• Update the College Intranet with Event information when necessary.
• Develop content for event marketing and support production of online and social media advertising, pre and post events.
• Provide support to the Digital Marketing Officer on the uploading of web and social media content and the generation of regular digital reports.
Procurement and Finance
• Manage range of contracts for events including venue, photography, merchandise contracts etc.
• To support the Marketing and Design team in relation to the annual operating budget and monitoring aspects of the budget as directed.
• To ensure that all procurement processes are adhered to including quotes, purchase orders and invoices are properly completed, authorised, and passed to the Finance Department.
Team Performance
• Develop strong working relationships within the Centre for Marketing and Design to ensure that the College marketing objectives are met.
• Ensure that all work and output is of the highest quality following all standards as agreed with Senior Marketing Officer.
• Remain up to date and informed of the College, its strategic directions, its products, and developments.
• Assist with the mentoring and supervising of interns and placement students based in the Marketing and Design Centre.
• Work with the Senior Marketing Officer and Marketing and Design Centre Manager on the preparation of marketing information and reports for internal audits and external inspections.
• Provide relevant data to produce monthly and quarterly marketing performance reports.
General
• To contribute to the achievement of the College’s mission, values and strategic directions.
• Participate in the College’s performance appraisal system.
• Participate in College developments, attend internal and external meetings and training programmes as required.
• Adhere to general standards of conduct embodied in college policies.
• To implement and embed the College’s equality and diversity policies and respond to its equality and diversity duties as they relate to all stakeholders.
• Act, if directed, as fire marshal or warden.
• Carry out, if directed, the role of first aider.
• To undertake such other relevant duties as may be reasonably expected of the post holder.
Personnel Specification
Essential Criteria
Qualifications
Hold a Level 5 qualification or above in a relevant discipline such as Events, Marketing or Business.
Knowledge / Skills
Have a minimum of 2 years’ experience in planning and organising events.
Demonstrable experience of delivering events and/or marketing related activities.
Demonstrable experience of working on multiple projects.
Demonstrable experience of providing marketing support to include analysing data and generating reports.
