Executive Assistant

SUMMARY

This role will report to the Chief Executive Officer. The EA is the frontline contact point for all sales administration, planning & reporting. The core objectives of the role are to provide excellent support levels to the Commercial Director, while also ensuring there is sufficient assistance on hand for the sales colleagues and colleagues of the wider business, when needed.

KEY DELIVERABLES

EXECUTIVE SUPPORT

  • Produce & develop account analysis & financial reporting of the highest standard
  • Project Management of new initiatives
  • Supporting Sales Strategy Plans
  • To manage key activities on an ongoing basis to include sales planning, administration & reporting & supporting rolling agenda
  • Prepare and issue KPI’s Reports
  • Identify root causes where KPI targets are not achieved and implement corrective actions for continuous improvement
  • Regularly contribute to internal team meetings and customer meetings, and present Customer Service Level / Performance reports including NCR’s overview where applicable

MANAGEMENT LIASON

  • Maintain a strong working relationship with other relevant departments, including Customer Service, Operations, IT, HESQ and HR
  • Working closely interdepartmentally to resolve ad hoc queries and generate reports

HR SUPPORT

  • To manage and conduct all staff reviews & return to work interviews within the Sales department
  • Manage any performance issues, liaise with HR and assist in conducting investigation and disciplinary meetings where required

MARKETING SUPPORT

  • Assisting developing strategies and managing marketing campaigns across print and online platforms to ensure that products and services meet customers’ expectations and to build the credibility of the Ace Brand
  • Assigning key projects to Marketing Consultant including Website relaunch
  • Analyzing the success of marketing campaigns and generating reports

SKILLS, KNOWLEDGE AND EXPERIENCE

The Executive Assistant has daily contacts with multiple Departments both internally and externally, therefore an ability to multi-task and prioritise is crucial for success in this role. 

The incumbent must have excellent verbal and written communication skills, including the ability to handle tough situations. On a day-to-day basis, the Executive Assistant will manage their own workload according to operational demands - therefore the incumbent must be proactive, energetic and highly organised, with a proven ability to manage their time effectively.

Essential:

  • 3 years+ dealing with Senior management experience.
  •  Strong organizational and problem-solving skills with impeccable multi-tasking abilities
  • Strong Microsoft Office skills.
  • Proficiency in collaboration and delegation of duties.
  • Strong interpersonal skills.
  • Friendly and professional demeanour.
  • Excellent attention to detail and reporting & analysing skills.
  • Ability to adhere to strict deadlines.
  • Ability to work on own initiative with a flexible attitude to work.
  • Hands on approach to management.
  • Customer-focused with a proven track record of meeting and exceeding customer expectations.
  • Previous experience dealing directly with customers and attending customer meetings.
  • Must ensure professional approach in all aspects of the role and ability to follow through on queries until resolved.
  • Degree/Qualification in relevant field desirable
