What We Do:

As part of our mission to drive the transition to renewable and low-carbon energy solutions, we are excited to announce an opportunity for a Executive Assistant to join our team. This pivotal role will shape the future of sustainable energy delivery across a diverse portfolio of public and commercial sectors.

We specialise in the design, supply, and installation of a wide range of prefabricated energy solutions, typically built in NI and shipped throughout the UK & Europe. We also offer turnkey design, build, and operate solutions for commercial energy centres and large-scale district heating solutions and have experience with successfully procuring and delivering many similar packages to a wide range of public bodies throughout Ireland, UK & Europe.

Role Overview:

The Executive Assistant is a proactive and business-focused role, providing high-level support to senior leaders. The post holder will collaborate closely with the Managing Director, Operations Director and Associate Directors delivering first-class assistance in preparing presentations, reports, and documents. This role combines strategic awareness with hands-on operational support, requiring excellent organisational skills and strong communication abilities.

What You’ll be Doing:

This role requires a high degree of autonomy, initiative and the ability to adapt to changing priorities, ensuring the smooth operation of the Senior Leadership Team and continuous improvement of executive support processes.

• Diary Management - scheduling meetings, appointments, and travel arrangements

• Assist senior leaders with the preparation of meetings, briefings, presentations and key documents.

• Draft corporate documents as required using MS office as required.

• Attend senior meetings and ensure minutes are recorded and actions distributed and actions are followed up.

• Engage confidently with internal and external stakeholders, representing the leadership team with professionalism.

• Identify opportunities for operational improvement and proactively suggest and help implement solutions to enhance effectiveness.

• Ensure that communications are released on scheduled dates to ensure all areas of the business are kept informed.

• Conduct research, analyse data, and provide insights to support decision-making.

• Coordinate and manage strategic projects, supporting business objectives.

What You Need to Have:

• A Minimum of 3–5 years’ experience in a similar role supporting senior executives.

• Proven experience in complex diary management and high-level administrative support

• Strong commercial awareness and business acumen

• Experience in project coordination and stakeholder management

• Highly proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)

• Experience in handling confidential and sensitive information professionally

• Fluency in written and spoken English is essential

What You Would Ideally Have:

• A business based master’s degree (e.g. MBA, MSc Management, MSc Business, or similar), or equivalent experience operating at a similar level, is desirable.

• Experience supporting or overseeing administrative/office operations is desirable.

• Exposure to business planning, reporting, or strategy support
