This role is aligned with the Bank Executive (BE) grade, and the BE salary scale applies.New entrants will commence on Point 1 of the relevant salary scale; in this case the starting salary will be €39,090. Please click here for further information on our salary scales.The purpose of this role is to provide comprehensive support to the Director in a timely, effective, and efficient manner which facilitates and supports the fulfilment of their remit. The role-holder will work directly with the Director and their advisor in the execution of their duties and to ensure the smooth functioning of the office of the Director. The successful candidate will be an effective administrator, with a history of independently managing complex scheduling. This role is an opportunity for a proactive and highly organised candidate to work closely with the director and the senior management team. Responsibilities
- Provide comprehensive support of the day-to-day duties of the Director and support the senior management team through effective:
- Diary management
- Co-ordination of meetings, action taking and co-ordination of briefing papers and reports as required.
- Anticipation of administrative and logistic requirements
- Engagement with the Director on their priorities and delivery of key work, anticipating where proactive support can be provided
- Manage and process travel requirements.
- Co-ordinate the development and maintenance of the Director’s stakeholder engagement plans and collaborate with relevant teams in the Bank to ensure all such engagements are appropriately planned and recorded and all briefing materials are prepared to a high standard and in a timely and effective manner.
- Assist with and/ or coordinate large meeting set ups and virtual meetings on various platforms so these happen seamlessly and the attendees have a very positive user experience.
- Support the Operations Teams as required to raise Procurement Requisitions, process JML tickets and provide general mailbox cover during periods of leave.
- Carry out additional ad-hoc activities as requested by the Operations Team Lead.
- Manage business correspondence of a highly confidential and sensitive nature to ensure the recording and issuance of responses to all such communications in a timely, sensitive, and discrete manner and within required deadlines.
- Act as a contact point between the Director and Directorate staff to ensure an efficient and effective flow of information and communications to/from Directorate staff.
- Depending on the profile of the successful candidate and needs of the relevant Director, there may be scope to engage in a broader range of non-administrative work if desired.
- 3 years related PA experience at a senior level or 3 years professional experience including relevant administrative duties, to include experience of working on own initiative and as part of a team, in an environment with a varied and heavy workload, third level degree desirable.
- Knowledge of the activities of the Central Bank of Ireland, the ECB and Eurosystem would be an advantage.
- Proficient and experienced in MS Office suite of applications.
- Professional discretion, appropriate to managing confidential information and dealing with Senior Executives and equivalent external parties.
- Strong relationship management skills.
- Ability to distinguish core issues and prioritise accordingly.
- Excellent verbal and written communication, in particular the ability to relate to Senior Executives, staff, and external stakeholders.
- Strong problem solving and multi-tasking skills.
