The Opportunity 

 EirGrid Group is seeking a highly organised and dedicated Executive Assistant to join our existing Executive Assistant Team, providing direct support to the Chief Corporate Services Officer and Chief Finance Officer. This key role is responsible for managing the Executive’s office operations, including comprehensive diary management, meeting coordination, and documentation support. We are looking for a proactive, professional, and adaptable individual who consistently stays one step ahead and brings strong focus, discretion, and reliability to a dynamic executive environment. As an Executive Assistant your main responsibilities will include, but not necessarily be limited to, the following: 

  • Personal assistance to the Chief Corporate Services Officer and Chief Finance Officer, including diary management, e-mail correspondence, travel arrangements and expenses processing. 
  • Schedule and attend meetings, prepare agendas in advance, keep minutes, track, report and follow up on actions agreed. 
  • Ensure the executive is aware of upcoming commitments and responsibilities. 
  • Draft, edit and prepare communications, documents, and presentation material on behalf of the executive. 
  • Perform the role of office manager to ensure the efficient operation of the office, coordinating with the procurement and facility management. 
  • Organise, plan and co-ordinate events, conferences, and off-site meetings such as town halls and summits. 
  • Manage logistics, catering, and other event-related tasks. 
  • Organise and maintain documents and other correspondences of a confidential nature. 
  • Arrange travel itineraries, accommodation, and transportation for the executive and other senior members of the management teams. 
  • Participate and contribute to other activities and projects as required.

Your Skills and Experience: 

  • 3+ years personal and/or executive assistance experience. 
  • Professional with a strong work ethic, motivated to achieve goals. 
  • Excellent communication skills - verbal and written. 
  • Organised with the ability to manage multiple tasks, plan, and prioritise effectively. 
  • Accuracy and attention to detail. 
  • Strong problem-solving skills. 
  • Excellent stakeholder engagement and team building skills. 
  • Ability to work unsupervised and to take ownership of queries and/or issues, bringing them to a successful conclusion. 
  • Ability to manage sensitive information with discretion. 
  • Flexibility in working hours to accommodate demands of different time zones and additional working hours when required. 
  • Experienced Microsoft Office users include excellent Word, PowerPoint, Excel, and Teams.
