As Executive Assistant, you’ll play a central role in supporting Dublin-based executives. This is a high-profile, fast-paced position where success depends on your ability to anticipate needs, manage competing priorities, and communicate with clarity and confidence. Your work will ensure optimal efficiency, enabling smoother operations across the business.

This role is based at our Dublin office and may entail occasional travel to our other locations across the UK and Ireland.

What you’ll be doing

Duties and responsibilities will include:

  • Co-ordinate complex diaries, schedule appointments, and manage meeting calendars to ensure maximum efficiency for senior executives. This includes overall responsibility for the schedules and diaries of two executives and their wider teams as required.
  • Book travel and accommodation across the UK and Ireland, as well as internationally, coordinating across multiple time zones.
  • Handling confidential correspondence on behalf of the relevant directors, providing comprehensive secretarial and administrative support
  • Acting as a first point of contact for queries or escalations, ensuring they are directed to the appropriate team member
  • Preparing documents in advance of meetings and for general communication purposes, including formatting, proofreading, and creating draft slides from written notes
  • Plan and coordinate site visits in line with brief and executive requirements, acting as the key point of contact for both internal and external stakeholders
  • Lead and deliver projects as required, driving improvements in operational or administrative processes.
  • Work collaboratively across multiple teams and functions to support business priorities, in particular supporting and covering other EAs when required.
  • Lead or support administrative staff and processes including facilities, health and safety, and IT coordination 

What we’re looking for

  • Substantial prior experience working as an Executive Assistant in a busy, corporate environment.
  • Confident communicator with the ability to build relationships and influence at all levels — including the ability to professionally challenge or push back when needed.
  • Team Player – ability to build strong relationships across all levels and proactively support colleagues
  • Highly organised, detail-focused and adaptable, with experience of managing competing demands.
  • Strong event planning and stakeholder management skills,
  • Proficient in Microsoft Teams and Microsoft Office, especially PowerPoint, Outlook and Excel.
  • Ideally holds a PA qualification (e.g., NVQ Level 2).
  • Experience of working in or with large, fast-paced organisations and understanding internal governance and process.
