Executive Assistant to the Leadership Team
Job Overview
We are seeking a proactive and experienced Senior Administrative Assistant to provide comprehensive support to our Leadership Team. This role involves managing a variety of administrative tasks, serving as the primary backup to the Executive Assistant (EA) to the CEO and Chair, and offering support to the insurance administration function as needed. The ideal candidate will possess excellent organisational skills, the ability to make independent decisions in the absence of leadership, and able to step into the EA role in their absence.

Job Overview
We are seeking a proactive and experienced Senior Administrative Assistant to provide comprehensive support to our Leadership Team. This role involves managing a variety of administrative tasks, serving as the primary backup to the Executive Assistant (EA) to the CEO and Chair, and offering support to the insurance administration function as needed. The ideal candidate will possess excellent organisational skills, the ability to make independent decisions in the absence of leadership, and able to step into the EA role in their absence.
Main Activities/Tasks
Leadership Team Support
- Provide high-level administrative assistance to Leadership Team members, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare, proofread, and edit correspondence, reports, and presentations, ensuring accuracy and professionalism.
- Organise and maintain confidential files and records.
- Serve as the primary backup to the EA to the CEO and Chair during absences, ensuring continuity of executive support.
- Assist in coordinating board meetings, including the preparation and distribution of materials, agenda management, and minute-taking.
- Manage marketing materials library, cost centre administration
- Handle sensitive information with the discretion.
- Exercise sound judgement and make independent decisions in the absence of Leadership Team members to ensure the smooth operation of the office.
- Anticipate needs and proactively address potential issues, providing solutions and recommendations as appropriate.
- Manage incoming and outgoing communications, including emails and calls, prioritising and responding as necessary.
- Coordinate and organise meetings, including logistical arrangements and material preparation.
- Assist in special projects and initiatives as assigned, contributing to their successful execution.
- Proven experience as a senior administrative assistant, executive assistant, or in a similar role supporting senior management.
- In-depth understanding of office management and daily operations.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organisational and time-management skills, with the ability to prioritise tasks and meet deadlines.
- Strong verbal and written communication abilities.
- Demonstrated ability to think independently, make decisions, and solve problems effectively.
- High level of discretion and confidentiality.
