Executive Assistant

Description Overview

We are currently looking for an experienced Executive Assistant to support our CSO based in Dublin. In this role, you will provide superior administrative support and partner with the Executive Suite Senior Assistants.

Scope of the Role

  • Management of daily appointments diary including the scheduling of meetings, travel bookings, company engagement events, external customer events, board meetings, conferences etc.
  • Undertake all required administration including the co-ordination of routine correspondence, emails, invoices, expenses etc.
  • Handle incoming calls according to criteria set by Executive Committee member.
  • Liaise with Board Members and Senior Leadership teams across the global business, as well as external parties as required.
  • Day to day administration activities in support of Executive Committee member. 
  • Prepare management reports/documentation prep for Executive Leader in preparation for Leadership and Board Meetings.
  • Key Management / Client Meetings: Demonstrable experience in coordinating logistics and setting up required activities for team meetings, external meetings etc led by Executive Committee member. 
  • Demonstrable experience in developing and communicating: Agendas, accurate recording and prompt issuing of minutes to attendees. Liaising with attendees on updates of actions and updating minutes with action status
  • Excellent IT skills in particular setting up of video conferencing calls and facilities, knowledge of electronic document repository software and electronic filing.
  • Assist with corporate engagement events and ad-hoc project assignments as required.
  • Assist Dublin office members of scientific office leadership team with travel and expenses.

  • Member of the executive assistant community working closely with the CEO’s EA to ensure seamless partnership across the office of the executive and the organisation. 
  • Motivated individual with initiative and common sense – always thinking one step ahead of the game! 
  • Proven ability to organise and complete tasks in an efficient, methodical and organised manner. Mindset of continuous improvement 
  • Ensures the office of the Executive is managed with professionalism and reflects Perrigo’s corporate image
  • Plays to win as a team player and is not afraid to give and seek help when needed

Skills & Experience

  • Office Administration/ Secretarial Qualification preferred. However, directly relevant experience operating at an Executive Assistant/PA level within a large corporate organisation is most important.
  • Excellent interpersonal and communication skills (oral and written).
  • High degree of confidence and competence.
  • Ability to multitask and work calmly to required deadlines.
  • Proficient and comfortable with technology – MS Office Suite, Expense Systems, Travel Systems
