Executive Assistant

We’re looking to hire an Executive Assistant to provide high level administrative support to a member of the Executive Leadership Team, initially CEO. This Executive Assistant will be highly organised, detail-oriented, proactive, and capable of handling sensitive information with discretion. This role requires a strategic thinker who can manage multiple priorities while maintaining a high level of professionalism. It is safe to say that this role will be busy and include a wide variety of activities supporting an ELT member and their direct team. Responsibilities

Executive and Operational Support • Responsibility for proactively managing the ELT member’s complex diary, manage inbox, correspondence and expenses. • Arrange meetings and ensure preparation materials are readily available and distributed. • Arrange travel requirements, accommodation, meetings and events. • Preparation of reports and presentations to a high standard. • Handle confidential information with integrity and professionalism Culture & Collaboration Champion • Proactively assist in driving a strong team culture through support of engagement initiatives for team meetings, organising events and entertainment. • Manage department staff entertainment budget and ensure Purchase Orders are raised, processed, receipted and monitored through to payment. • Build strong relationships with other departments and work closely with other EAs as one team. Workplace Experience & Office Flow • Ensure a great experience for visitors to the office. • Key point of contact for all infrastructural issues and office management for the department (follow up with IT/office supplies/facilities) to ensure smooth running of the office. Required skills and characteristics Communication & Relationship Building • Exceptional written and oral communications skills with impeccable attention to detail. • Excellent interpersonal and communication skills. • Highest level of discretion and professionalism. Professional Expertise & Technical Proficiency • Significant experience in a similar role. • Tech savvy – Knowledge of working with systems (Oracle is a preference but not essential) and a high level of administrative ability with excellent skills in MS Office Organisation & Problem Solving • Strong organisational, time management and problem-solving skills are essential. • Organised and self-motivated with an ability to prioritise workload to meet and manage deadlines and to multitask.
