1. PREAMBLE

Mary Immaculate College is an autonomous, university-level, Catholic College of Education and the Liberal Arts. Founded in 1898 and linked academically with the University of Limerick, MIC is the oldest higher education institution in Limerick.

Significant expansion in recent decades has seen the College’s range of educational programmes expand across two impressive campuses, one based in the heart of Limerick City and one in Thurles, Co. Tipperary. The diverse student community is made up of more than 5,000 learners participating in fifteen undergraduate degree programmes and a wide range of postgraduate programmes up to and including doctoral level.

Academic staff members engage in professional academic research activities, and research underpins all teaching and learning at the College.

MIC seeks to prepare its students for professional excellence and to nurture their capacity to lead flourishing lives.

2. CANDIDATE PROFILE & SCOPE OF THE POSITION

The College wishes to fill the position of Executive Officer – Equality, Diversity, Inclusion and Interculturalism (EDII) on a full-time, permanent basis for the purpose of providing technical, coordination, and administrative support to the evolving and growing EDII work at MIC.

This role will support the continued development and operational effectiveness of the EDII Office and Directorate, as well as helping to fulfil legal and sector compliance.

The EDII pillar of activity at MIC is institution-wide and incorporates areas including gender equality, identity and expression, consent, sexual harassment and bullying, appreciation of intersectional and intercultural diversity, and race equality.

Essential Qualifications, Experience & Skills

  • Either:

    • (a) A relevant qualification at Level 6 or higher on the National Qualifications Framework and a minimum of two years' relevant administrative experience;

    or

    • (b) A minimum of three years' relevant administrative experience.
  • Good working knowledge and understanding of current developments in Equality, Diversity, Inclusion and Interculturalism.
  • Experience in minute taking, data analysis, and report writing, and experience using tools such as Microsoft Excel, SurveyMonkey, Microsoft Word, SharePoint, PowerPoint, and social media platforms (Instagram, LinkedIn, etc.).
  • Strong administrative and organisational skills, with experience in event management and the ability to work to established deadlines.
  • Excellent interpersonal and communication skills, with the ability to adapt communication style and techniques to a wide variety of College contexts.
  • The ability to supervise and provide guidance and direction to others.
  • Proven ability to work effectively within an established team environment while also working efficiently on one's own initiative.

    3. JOB DESCRIPTIONReporting Relationship

    The appointee will report to the Director of EDII and is required to carry out duties that support and embed EDII across MIC.

    The appointee will liaise with the offices of the Vice Presidents, Deans, Heads of Departments, Course Leaders, MISU, students, other College personnel, and relevant College bodies in carrying out the duties attached to the post.

    The reporting relationship is subject to review and may be altered from time to time in line with service needs and developments within the College.

    The duties and responsibilities include:

    • Providing high-quality administrative support to the EDII Office.
    • Providing administrative support, including minute taking and report writing, to various Committees and Groupings within the College, as directed by the EDII Office Manager.
    • Organising and managing events relating to the EDII Office and collaborating with colleagues in the organisation of other events.
    • Compiling, preparing, and editing reports and statistics.
    • Maintaining accurate records, databases, contact lists, and reporting systems relating to EDII activities, events, training, projects, and stakeholder engagement.
    • Proofreading, formatting, and quality assuring internal and external documentation, ensuring materials are accurate, accessible, professionally presented, and aligned with institutional requirements.
    • Coordinating and maintaining EDII digital content across the College website, SharePoint, and related platforms, ensuring content is accurate, accessible, aligned with institutional EDII priorities, and updated in line with reporting, campaign, and compliance requirements.
    • Supervising staff and allocating workloads as required.
    • Deputising for Higher Executive Officers (HEOs) where appropriate.
    • Contributing to the development and implementation of EDII policies and procedures.
    • Processing and screening applications to MIC's undergraduate and postgraduate Sanctuary Scholarships.
    • Scheduling and arranging interviews for prospective scholarship students, EDII Student Champions, and other EDII-related initiatives as required.
    • Assisting with staff training and development as required.
    • Responding to queries received through the EDII and Sanctuary inboxes and handling calls from staff, students, and members of the public.
    • Supporting the development and maintenance of the EDII calendar of events and awareness-raising activities throughout the academic year.
    • Developing, scheduling, and maintaining EDII social media content and awareness campaigns, drafting posts and visual content, coordinating messaging with relevant colleagues, monitoring engagement where appropriate, and ensuring communications align with institutional priorities and MIC communications protocols.
    • Supporting the management of departmental budgets and compliance with procurement protocols.
    • Working with HEOs in the EDII Office to manage awareness-raising campaigns throughout the academic year.
    • Assisting with the facilitation of Student Consent, Bystander, and other EDII workshops throughout the academic year.
    • Tracking and monitoring progress against institutional Athena Swan action plans, Public Sector Equality and Human Rights Duty implementation plans, and other EDII reporting frameworks, maintaining progress records, identifying follow-up actions, and preparing updates for relevant committees, managers, and reporting processes.

    The above list of duties and responsibilities is not exhaustive. The performance of the full range of duties is not necessarily confined to one individual, as the work requires staff to function flexibly and work together as a team.

    The College retains the right to assign new duties and/or reassign staff to other areas of the College in response to service needs.

    4. TERMS AND CONDITIONS OF EMPLOYMENTGeneral

    All persons employed will sign an appropriate contract containing the terms and conditions of employment.

    A job description is provided to all applicants and will form part of the contract documentation.

    Place of Work

    The appointee's normal place of work will be Mary Immaculate College, Limerick.

    The College reserves the right to require the appointee to work from any other location.

    It is a requirement of the College that the appointee resides within a reasonable distance of the College.

    MIC operates a blended working policy, offering scope for the post holder to combine office attendance with remote working, subject to the provisions of the policy.

    Exclusivity of Service and Outside Work

    The person appointed will be required to devote their full-time attention and abilities to their duties during working hours and to act in the best interests of the College at all times.

    Accordingly, while employed by the College, they may not, without the prior written consent of the Vice President Administration and Finance (VPAF), be actively engaged or concerned, directly or indirectly, in any other business or undertaking where this is, or is likely to be, in conflict with the College's interests or the performance of their duties.

    The appointee may not undertake paid outside work during their tenure unless they have received written permission from the VPAF of Mary Immaculate College.

    In every case, it is the responsibility of the appointee to seek prior written approval from the VPAF.

    It is also the responsibility of the appointee to inform the person or organisation for whom the work is being undertaken that the work is carried out in a private capacity and that the College cannot, under any circumstances, be responsible for such work.

    Probationary Period

    The appointment is subject to the satisfactory completion of a standard six-month probationary period.

    The probationary period may be extended at the discretion of the College but will not exceed eleven months.

    Absences during the probationary period will extend the probationary period.

    Performance and conduct during probation will be reviewed through assessment meetings.

    Termination of employment during probation, for any reason or no reason, is at the discretion of the College.

    The disciplinary procedure will not apply to a dismissal during probation where the probationary employee has been employed by MIC for less than twelve months.

    Hours of Attendance

    The full-time working week is 35 hours.

    Normal working hours are:

    • Monday to Thursday: 9:00 a.m. to 5:00 p.m., with a one-hour unpaid lunch break.
    • Friday: 9:00 a.m. to 4:45 p.m., with a 45-minute unpaid lunch break.

    The duties of the position may require evening and weekend work to accommodate service needs.

    Subject to College policy, the post holder may avail of Time Off In Lieu (TOIL) or overtime where working hours exceed contractual hours.

    The College reserves the right to adjust starting and finishing times or days of duty to meet service needs.

    Salary

    The salary scale for this position has been approved by the Department of Further and Higher Education, Research, Innovation and Science and the Higher Education Authority in line with Government policy on public sector remuneration.

    The rate of remuneration may be adjusted from time to time in line with Government pay policy.

    Appointments will be made on the salary scale at the appropriate point in accordance with current Government pay policy.

    New entrants to the Civil or Public Sector, as defined in Circular 18/2010, will commence on the first point of the salary scale.

    The grade for this post is Executive Officer.

    Increments are awarded in line with national pay agreements.

    Salary is paid monthly on the 25th of each month, or on the previous Friday if the 25th falls on a weekend, using the PayPath facility.

    Salary payments are subject to statutory deductions, including:

    • Income Tax (PAYE)
    • Superannuation Contributions
    • Pay Related Social Insurance (PRSI)
    • Universal Social Charge (USC)

    Superannuation

    New entrants to the public service are required to participate in the Single Public Service Pension Scheme and pay superannuation contributions at the appropriate rates in accordance with the Public Service Pensions (Single Scheme and Other Provisions) Act 2012.

    All other eligible appointees are automatically included in the Colleges of Education Pension Scheme upon appointment.

    In compliance with the Colleges of Education Pension Scheme, deductions amounting to 6.5% are made from salary.

    The appointee will also be required to pay the Additional Superannuation Contribution (ASC) under the Public Service Pay and Pensions Act 2017.

    Appointees who commenced employment in the public service between 1 April 2004 and 31 December 2012, and who have not had a break in employment exceeding six months, will have no mandatory retirement age.

    All other appointees will have a mandatory retirement age of 70.

    Pension Abatement

    If an appointee has previously been employed in the Civil or Public Service and is entitled to, or in receipt of, a Civil or Public Service pension, or if such a pension comes into payment during re-employment, that pension will be subject to abatement in accordance with Section 52 of the Public Service Pensions (Single Scheme and Other Provisions) Act 2012.
