Executive Officer
The Purpose of the Role The School is seeking a permanent Executive Officer who will join our team in providing a comprehensive support service to School activities. The postholder will assist in the organization & operation of the undergraduate and postgraduate programmes in the School from recruitment to degree award. They will provide full support to the relevant academic staff to ensure the smooth running of the degree programmes on a day-to-day basis. Context This role is part of a small team of administrative staff who provide services to management, staff, and students within the School. The successful candidate will join a team of one administrative officer, one Senior Executive officer, two Executive Officers and one Global officer working in the School and will be responsible for a wide variety of administrative tasks required for Course/School Administration. The role reports to the School Manager. The role requires a candidate with exceptional organizational and interpersonal skills and with extensive experience in the provision of high caliber customer service support. Although the role-holder will work as part of a team, they will have responsibility for delivery of specific programme, administration & financial tasks within the School. The role holder is the first point of contact for staff and students in the School and is responsible for providing a professional, efficient, and welcoming services to all students, staff, and visitors to the School.
Main Responsibilities This is a list of the tasks, duties, and responsibilities for the role.
Programme Administration • Full administrative responsibility for the freshman students on the Bachelor in Social Studies (Social Work) and the Bachelor in Sociology & Social Policy. The Social Work course is a professionally accredited course by CORU and the role includes enhanced responsibilities to ensure adherence to accreditation standards. The role School including liaising with students, full time and part time staff and External Examiners. • Full administrative responsibility for the School’s three micro-credential programmes which are as follows: 1. Equality, Diversity & Inclusion: Policy & People 2. Domestic Violence & Child Protection: Training for Child Protection & Welfare Practitioners 3. Disability, Mental Health and Child Protection: Towards New Understanding • Management of the School Continuous Professional Development Courses including organisation, marketing and operation.
Finance • Responsibility for the School Casual Payroll.
Committee Secretary • Secretary to the following School Committees:
- School Undergraduate Teaching & Learning Committee
- BSS Course Committee
- Sociology & Social Policy Course Committee.
- Research Ethics Committee
General • Administrative Responsibility for the School Research Ethics process including application and outcome management, liaison with the data protection office and the Dean of Research. The School is classed as level 2.
General • Assist with the arrangements and/or support internal and external activities/meetings/events through detailed instruction or direction, collating and recording relevant information/documentation as requested. • Website updates and maintenance • Responsibility for the production of historical transcripts for courses which have ceased in the School. • Any other duties that arise from time to time as directed by the Line Manager or nominee.
Person Requirements The role-holder will require the following knowledge, skills, and attributes for successful performance in the role.
Qualifications An appropriate administrative qualification or third level qualification(essential).
Experience & Knowledge • Considerable experience of providing high level administrative support in an academic environment (essential), preferably with experience of event management(desirable). • Excellent IT skills including word processing, use and design of spreadsheets and databases, knowledge of social networking applications and website maintenance (Dreamweaver)and ability and commitment to learn new IT skills as necessary for this post(essential). • Knowledge and experience of internal systems CMIS, SITS and FIS (essential).
Skills • Excellent written and verbal communication skills: convincing and confident when speaking to others; clear, concise, and error-free writing • Excellent organisational skills, ability to prioritise tasks and meet deadlines while maintaining high levels of accuracy coupled with attention to detail • Great customer-service skills understand the importance of quality service and takes pride in providing great customer service. • Excellent interpersonal skills: ability to interface effectively with students and staff both within the Department and across the wider College Community, fosters good working relationships and is known as someone who is helpful to others.

This appointment will be made on the Executive Officer Merged Salary Scale (€31,691 - €49,699 per annum) at a point in line with current Government pay policy. monthly/weekly payscales. (tcd.ie)
