We are currently seeking a highly organised and proactive Executive Assistant (Grade V) to support the Chief Executive Officer in the effective management of their office. This is a key role within the organisation, requiring excellent organisational, communication, and stakeholder management skills.

The postholder will provide comprehensive, confidential, and proactive executive support to the CEO, demonstrating effective leadership, strategic decision making and efficient operation of the organisation. The post holder will act as a trusted liaison between the CEO, Board, Executive Management Team, and internal and external stakeholders, ensuring priorities are managed seamlessly and organisational objectives are supported.

The postholder will work alongside the Board Liaison Officer and the Executive Business Manager to ensure the effective and efficient operation of the office of the Chief Executive. The post will include administrative and managerial responsibilities.

Eligible candidates are those who meet the essential criteria and competencies of the post.

Qualification requirement

Essential:

  • QQI Level 6 in a relevant area, e.g. Office Administration & Management, HR, Legal Studies.

Desirable:

  • QQI Level 7 degree in a relevant area.
  • Evidence of ongoing professional development.

Experience ​requirement

Essential:

  • At least three years’ experience in a role with responsibility in supporting the effective operation of a senior level executive in a comparable size organisation.
  • Have valid work permission and eligibility to work in Ireland at the time of application.
  • Experience preparing executive level reports, presentations and board papers.
  • High proficiency in Microsoft Office and digital collaboration tools.
  • Experience in working with multiple internal and external stakeholders, demonstrating good networking capabilities and interpersonal skills.
  • Experience managing and developing systems to support the effective discharge of the office of a senior executive.
  • Experience in providing administrative support which supports system improvement.
  • Experience in working within rapidly changing environments.
  • Experience in successfully developing and delivering projects.
  • Exceptional organisational and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong judgement, diplomacy and ability to handle highly confidential matters.
  • The suitable candidate should be highly dependable, flexible, resilient and adaptable, demonstrating strong commitment to being detail orientated with excellent follow through.

Desirable:

  • Qualification in Business Administration, HR, Legal, or other area as relevant to the post.
  • Experience working in the office of a Chief Executive or other comparable postholder.
  • Demonstrated achievement in devising and implementing system improvements in an office environment.
  • Project Management and / or Lean qualification.

Health

A candidate for and any person holding the office must be fully competent and capable of undertaking the duties attached to the office and be in a state of health such as would indicate a reasonable prospect of ability to render regular and efficient service. Character

Each candidate for and any person holding the office must be of good character. Horizons require all candidates undergo Garda Vetting as part of the recruitment process.

Other essential requirements specific to the post

Hold a full driver’s licence which allows for driving in Ireland and have access to personal transport for the requirements of fulfilling the duties of the post.
