The Genesys Global Real Estate & Facilities team supports over 40 locations around the world with headquarters located in Menlo Park, California. Our Galway office located at Bonham Quay is home to a team of up to 280 R&D engineers and the Facilities Coordinator for this location will be vital to the success and energy of this innovative work setting.
Contract type: Maternity Cover (Fixed-Term Contract)
Job Location: Onsite, 5 days a week, Galway
Reporting to the Facilities Manager you will have responsibility for assisting in the delivering of a full array of office services to ensure the organization has the most suitable working environment for its employees and their activities. Using best business practice to improve efficiency and productivity, this role will be a key member of the facilities team and be accountable for the following duties:
- Assist in the delivery of soft and office services such as catering and hospitality, cleaning, security, desk move management and office furniture, etc.
- Ensure excellent workplace housekeeping and site is presentable for staff and external visitors.
- Act as office concierge/receptionist to welcome guests and visitors, answer incoming calls, book & coordinate meetings & events, and assist with general enquiries from staff and other building users.
- Conduct office administration tasks such as stationary stock management, mail & postage, courier requests, coordination of parking requirements, records management, and ensuring general office equipment is functional to meet staff requirements.
- Operation of facilities helpdesk, processing work orders and developing reports for both planned and reactive maintenance.
- Administration and coordination of hard services maintenance activities, both planned and reactive.
- Assist with financial operations such as purchase order creation, invoice approvals, operational cost tracking, and budget administration.
- Administration of H&S duties and coordinate all workplace activities and safety training in accordance with organization’s safety policy.
- Be an accountable member of the site emergency management team and undertake training in the required fields of first aid and fire warden duties.
- Respond to emergency office issues to assess and escalate to Senior Facility Management team as required; this may include responding to issues that occur outside the normal hours of business operation.
- Assisting with office upgrade & re-fit projects as and when required
- Work constructively with the wider EMEA FM team to promote continual development and sharing of ideas and best practice.
- Assist with promoting the facilities function and activities to all staff.
Characteristics, Skills, and Experience required
- Minimum 2 years’ relevant experience in either facilities management or hospitality delivery with a demonstrable interest to develop within the field.
- A qualification in a relevant field is desirable e.g., Real Estate, Hospitality Industry, Facility Management, Building Services or Property Management.
- Excellent customer service and people skills, with a strong ability to communicate effectively verbally and in written format
- High standard of spoken and written English
- Capability to work collaboratively with other team members and the wider organization
- A clear desire to achieve excellence in your work and demonstrate attention to detail.
- Ability and aptitude to introduce new ideas and bring innovations to the work environment.
- Demonstrate a self-starter attitude and ability to work on own initiative.
- Knowledge of M&E building services is not specifically required though would be advantageous
