​​​​​​​Your role:

The Facilities Group Manager oversees all aspects of premises and properties for existing, new and planned services for Depaul Ireland.
The role will be responsible for preserving building conditions and ensuring that premises are safe for service users and staff.
Duties include planning and coordinating all maintenance work (including refurbishments), coordinating routine safety inspections, maintaining records, and supervising facilities staff and external contractors.

Key Areas of Responsibility:
  • Inspect the premises and properties to determine the need for repairs and refurbishments.
  • Develop and implement a system of annual appraisal of properties and a programme for planned maintenance of property portfolio for Depaul.
  • Co-ordinate and/ or ensure effective management of property development and refurbishments including feasibility studies and planning requirements.
  • Assess and analyse property surveys, i.e. Engineer Reports, Building Surveys and QS
  • Reports with the Operational Facilities Managers for Dublin and Cork.
  • Develop and maintain asset register for services nationally.
  • The management of agreed and scheduling of works for Depaul Housing properties
  • Coordinate the annual plans, objectives, budgets, costs and expenditure for the Facilities department.
  • Manage a variety of contractors such as maintenance, catering, reception, waste disposal, security and cleaning.
  • Implement a centralised process for managing external contractors to ensure value for money for Depaul.
  • Implement and embed a system to track spending on external contractors, ensuring transparency and efficiency.
  • Manage leasing and joint management agreements with landlords, ensuring clarity for all stakeholders and that obligations are fulfilled.
  • Participate in the management of health and safety as laid out in the Corporate Safety Statement.
  • Ensure the interior and exterior of Depaul premises and properties meet health and safety regulations.

Person Requirements
  • Diploma or degree in business, management, surveying, accountancy, engineering or relevant field is essential.
  • Relevant professional qualification in Property and Facilities Management is desirable.
  • Minimum 3 years’ experience as a Facilities Manager or equivalent.
  • Well versed in technical/engineering operations and facilities management best practices.
  • Knowledge of basic accounting and finance principles with a proven track record in the management of budgets.
  • Knowledge of Health and Safety legislation alongside the practical implementation within the working environment.
  • Strong written and verbal communication skills.
  • Collaborative, relationship building approach to working within own team, other departments, and externally.
  • Ability to manage time effectively and balance multiple priorities.
  • Previous experience in managing a team.
  • Proven track record of engaging the necessary professionals to develop, refurbish and maintain a property portfolio.
  • Good working knowledge of project management principles.
  • Ability to set goals, review outcomes and adapt where necessary.
  • Advanced Word, Excel, and PowerPoint skills in addition to experience using a CRM system.
  • Commitment to meeting the needs of excluded and marginalised people and providing a high standard of service.
