Facilities Manager

Key Accountabilities:

Facilities Manager cooperates with Hard Services Vendors, project team, maintenance and operations, suppliers oversight, purchases, and occupancy services. Technical Coordinator is providing supervision and guidance to all technical aspects of building technical infrastructure in open spaces and especially in its technical areas like laboratories and IDF rooms

· Close cooperation with vendors suppling technical services to the facilities infrastructure to

ensure required standard of performance

· Negotiate technical contracts to optimize delivery and cost savings

· Confirm the accurancy of vendor invoices

· Cooperation with client to avoid any problems during maintenance and technical projects

realisation

· Proactive acting to prevent any obstacles when technical project in progress

· Proactive acting to prevent problems that may arise with the facilities hardware

· Anticipate faults and minimize the possibility of their occurrence

· Inspections and audits of suppliers

· Inspections with technicians of technical infrastructure and critical systems to prevent any

unplanned downtime or failures

· Create annual Planned Preventative Maintenance plan and maintain it in proper and accurate way

· Assuring PPMs of critical systems are done accordance with the law regulations

· Reporting defects using internal tools to create tickets

· Creating long range high value asset replacement plan based on their current usage

· Warranty keeping and processing

· Keep list of high value assets up to date

· Cooperate with Health and Safety department provide suppliers technical related

documentation and procedures: Logbooks, H&S Authorization and Permits to work

· Seek ways to reduce utilities costs

· Seek and implement new solutions which keep the facility safe from downtime and failure

· Close cooperation with Security Team to ensure highest standard

· Assuring all action after Security PPMs are taken care of and system is running seamlessly

· Ensure all technical documentation is in place and in accordance with legal requirements

· Provide data to keep logbooks up to date and complete

 Manage and conduction black building tests (helping with conduction)

· Management of Purchase Orders · Assuring all technicians having proper certifications to conduct their works

· Identify areas where refurbishments are needed and motivate budgets

· Ensure all tickets for the site are updated regularly and in a professional manner

· Assist in the procurement of vendors and services as required

· Conduct regular health and safety audits to ensure all safety procedures are in place and working properly

· Maintain premises in neat and good working conditions at all times

· Cooperate with Health and Safety department to arrange various initiatives

· Needs to react from time to time in critical failure situations (out of hours).

· Take full end-to-end ownership of the facility’s technical operations, acting as the primary point of escalation for all technical emergencies and business continuity threats

· Lead critical incident responses (e.g., power outages, UPS/Chiller failures, VESDA alarms), ensuring immediate reaction, mitigation, and conducting comprehensive Root Cause Analysis (RCA) to prevent reoccurrence. 

· Conduct comprehensive daily, monthly, and quarterly site walks and audits of both internal facilities and external suppliers to ensure highest standards of FM service delivery and H&S compliance.

Requirements:

· Fluent English in speaking and writing

· Job related experience is required - minimum 3 years in similar role

· Strong technical knowledge in general

· Knowledge about building technical systems (BMS, Electric Power, Electrical maintenance, UPSes, Generators, HVAC systems, Vesda, Fire Protection) · Past experience of redesigning/ enlarging office space (as a member of a project team, or onsit

· Stress tolerance and working well under pressure

· Open minded approach to new knowledge

· Ability to cooperate with people of different levels inside/outside the company and to interact with team to reach team goals and business objectives

· Excellent quality of verbal and e-mail communicatio

· High level of ownership, accountability, and readiness to act as an on-call escalation point for critical faults outside standard working hours

· Working knowledge of EU/Irish F-Gas regulations and EPA compliance requirements regarding critical cooling infrastructure (supervisory level, holding personal F-Gas cert is not required but considered an asset).

· Familiarity with Irish Electrical Regulations (I.S. 10101:2020) and HSA (Health and Safety Authority) guidelines.
