Front of House Receptionist - Office Assistant

Position Overview

We are seeking a polished, organized, and friendly Front of House Receptionist / Office Assistant to manage our reception area and provide exceptional administrative support to our team. The ideal candidate will be the face and voice of our company, ensuring all interactions reflect our values of professionalism, efficiency, and customer-centricity.

Key Responsibilities

  • Greet and welcome visitors, clients, and vendors in a friendly and professional manner 
  • Answer, screen, and direct phone calls and emails to the appropriate departments 
  • Maintain the cleanliness and appearance of the reception area and meeting rooms 
  • Serve as back to the Office Manager and be trained on all office systems, to include, Concur, Coupa, Procurement, Security systems
  • Partner with the Office Manager to maintain company standards in daily operations
  • Receive, sort, and distribute incoming mail and deliveries 
  • Coordinate courier pickups and outbound mail 
  • Assist with office administrative tasks such as ordering supplies, printing materials, and maintaining inventory 
  • Support the maintenance of health and safety standards in the office 
  • Provide support for internal events, meetings, and team functions 
  • Liaise with building management and service providers as required 
  • Assist Office Manager with onboarding new employees (e.g., welcome packs, access cards, desk setup) 
  • Managing access controls and security of common areas of the building

Required Experience and Skills

  • Fluent in spoken and written English (required) 
  • Proven experience in a receptionist or customer-facing role 
  • Excellent verbal and written communication skills 
  • Can-do attitude and team player
  • Represents the company with confidence and professionalism.
  • Strong organizational skills and attention to detail 
  • Comfortable working in a fast-paced, tech-oriented environment 
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience with basic office equipment (phones, printers, video conferencing tools) 
  • Ability to handle confidential information with discretion 
  • Occasional flexibility in working hours may be required 
  • 5 days per week onsite in the office is required
