Job Description
What is the opportunity?
We have an exciting opportunity for a Front Office Administrator to join our Dublin office. The purpose of this role is to provide effective administrative support with Client events both inhouse and at external venues, monitoring various Brewin Dolphin info mailboxes and other ad-hoc administrative tasks.
This is a full-time role that requires you to attend the office 5 days per week during business hours from Monday to Friday. This role may occasionally require work outside of normal business hours to facilitate client events.
What will you do?
Distribution of internal and external posts and communications.
Administrative duties - Filing/scanning/archiving documentation.
Preparing Mail Merge Letters, electronic filing requests and data entry.
Assisting with Client events both inhouse and at external venues which may be outside of office hours from time to time.
Monitoring of the various Brewin Dolphin info mailboxes and directing mails to the appropriate channels.
Responsibility as designated Fire Warden and First Aider.
Demonstrate and encourage continuous improvement and innovative thinking; identify and correct shortfalls in performance levels.
General office facilities duties – ensuring kitchen supplies and stationary supplies are fully stocked etc.
Front of House duties to include:
Handling telephone enquiries and ensuring they are dealt with effectively.
Dealing with the outgoing post- franking/DHL/ Courier.
Coordinating Meeting Room Bookings.
Building access cards.
Organising lunch for inhouse meeting.
This list is not exclusive, and you may be requested to carry out additional duties to those above.
What do you need to succeed?
Must-have
Proven experience in a similar role, ideally within the financial services industry.
Relevant business administration/support qualifications.
Proven administration competence, excellent attention to detail.
Ability to work on own initiative and as a team member
Good communication, organisational and interpersonal skills
Nice-to-have
Existing knowledge of RBC Brewin Dolphin values and culture.
