We are now seeking an experienced Front Office & Facilities Coordinator to join our team in Kilkenny. 

This role is based in our studio in Kilkenny which is in the Republic of Ireland and there is no hybrid option available, as the role is based in our studio, Monday to Friday.

Due to the nature of the role, we would not be in a position to obtain a work permit and therefore for this role, we will only be able to consider applications from residents within the EU / EU passport holders only.

About the role

The Front Office & Facilities Coordinator is responsible for the effective day-to-day operation of the front-of-house functions and studio facilities, ensuring that everything runs smoothly and efficiently.

What you'll be doing

  • Oversee reception, visitor management, deliveries and general front-office administration
  • Coordinate the day-to-day operation of the studio, ensuring facilities, shared spaces and front-of-house functions run smoothly and professionally
  • Plan and coordinate studio maintenance, repairs and minor upgrades with management and external contractors
  • Act as a key point of contact for facilities-related suppliers and service providers, including cleaning, maintenance, security and utilities
  • Coordinate workspace, equipment and furniture requirements with Production, Line Producers and IT
  • Coordinate studio-managed crew accommodation (on-site and off-site), supporting crew arrivals, departures and changing needs throughout production cycles
  • Liaise with external parties in relation to studio-managed accommodation, including accommodation providers, cleaners, maintenance and service partners
  • Support crew relocation and onboarding by providing information and guidance in relation to accommodation options not managed by the studio
  • Assist new crew members in settling smoothly into the studio and local environment
  • Coordinate business travel and accommodation arrangements for Management as required
  • Manage day-to-day studio services including kitchens, consumables and general supplies
  • Organise internal studio events and coordinate studio participation in external events and initiatives
  • Liaise with Cartoon Saloon on joint events and shared initiatives
  • Support the coordination and administration of health and safety systems in collaboration with management and external health and safety advisors
  • Assist with the maintenance of the Safety Statement, statutory documentation, training and risk assessments
  • Act as a local point of contact for health and safety matters, escalating issues as appropriate

Requirements of the role 

  • 2+ years’ experience in a similar role
  • Strong administrative and organisational skills
  • Event planning and coordination experience
  • Excellent time management and ability to prioritise tasks
  • Experience supporting or coordinating workplace health & safety
  • Strong communication skills (written and verbal)
  • Ability to multitask in a fast-paced, changing environment
  • Proactive problem-solving skills with the ability to anticipate facilities issues
  • Proficiency in Microsoft systems (e.g. Excel, Outlook, Teams)
  • Fluent English (written and spoken)
