Garage Parts Administrator

Job Purpose
To provide efficient administrative support for the garage parts department by managing inventory records, processing orders, liaising with suppliers, and ensuring the timely availability of parts required for vehicle servicing and repairs.
Key Responsibilities- Process customer and workshop parts orders accurately and efficiently.
- Source vehicle parts from approved suppliers and obtain competitive pricing.
- Receive, check, and record incoming parts deliveries.
- Maintain accurate inventory and stock records.
- Monitor stock levels and reorder parts as required.
- Prepare quotations and invoices for parts sales.
- Liaise with technicians, service advisors, suppliers, and customers regarding parts availability.
- Handle returns, warranty claims, and supplier credits.
- Ensure all parts are correctly labelled and stored.
- Maintain filing systems and electronic records.
- Produce stock and purchasing reports when required.
- Support the Parts Manager with general administrative duties.
- Follow company health and safety procedures and maintain a clean, organised work area.
- Experience within the automotive, motor trade, or garage industry is desirable.
- Good knowledge of vehicle parts and automotive terminology.
- Strong computer skills, including Microsoft Office (Excel, Outlook, and Word).
- Excellent organisational and time management skills.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Reliable and dependable.

- Proactive with a problem-solving approach.
- Able to prioritise workload in a busy environment.
- Flexible and willing to assist colleagues.
- Based in a garage or automotive workshop environment.
