General Operations Assistant

Pro-Activ HR have been retained by Irish Tours for You, an inbound Tour Operator to assist with their current recruitment needs. 

Located in Tullamore, Co. Offaly, Irish Tours for you are an Inbound Tour Operator offering tours of Ireland to the primarily American market. Irish Tours for You have experienced rapid growth in recent years for their 5-star rated business and now require an Administrative Assistant who is able to support the General Operations Manager who oversees a Globally based workforce. This in turn, will help us to further grow and develop. This is an exciting opportunity for the successful candidate and would suit an individual who enjoys a challenge, working in a busy atmosphere and being part of a close-knit Team that supports each other in every way.

Duties will include the following:

Reservations:

Payment Processing:

Streamline operations by automating repetitive tasks, particularly in online and phone-based card payments.

Customer Service:

● Excellent communication skills allowing you to make and receive phone calls efficiently, both with clients and suppliers.

● Foster strong supplier relationships to facilitate seamless communication.

● Dealing with booked customers via telephone and email in a friendly, helpful and courteous manner.

● Conducting courtesy calls to clients who are traveling or to deal with an issue that has arisen.

● Updating the call log from the night before with missed calls and following up on new leads to obtain more information so that the person can be assigned to a Travel Advisor

Brand Management

● Obtaining excellent reviews on Google, TripAdvisor and Facebook

General Administrative Duties:

● Updating spreadsheets for remote members of staff so that they have material to complete their assigned tasks.

General office duties:

● Management of items such as internet, phone systems, water cooler contracts etc.

● Support to the CEO with various tasks

Accounts:

● Adding new suppliers for payment on our Banking App

● Authorizing access for remote Team Members to our bank app so that payments can be made

● Helping with locating receipts and invoices for VAT returns

This is a permanent full-time position with a very Competitive Salary and Benefits package offered reflective of experience

You must have 2+ years previous administrative experience with strong IT skills. Experience in the Tourism sector is a distinct advantage. Candidate must be strong team player, be a self-motivated, have excellent communication skills, strong problem solving skills and pride yourself on attention to detail and follow through.
