GP Practice Manager
Old Bank Medical Centre is currently inviting applications for position of Practice Manager to support our GP, Nurse & Administration team in Ballyhaunis, Co Mayo.
Contract: Permanent - Part-Time
Hours: 09:00 AM – 15:00 PM (22 hours per week plus holiday cover)
Work Pattern: Monday, Tuesday, Wednesday and Friday
Location: Ballyhaunis, Co Mayo
The role requires an energetic, enthusiastic, reliable person who is committed to providing exceptional patient service. The Practice Manager will be responsible for the smooth and efficient running of the Practice, overseeing the day to day running of the business, with responsibility for implementing excellence in the standard of care delivered to all patients as well as people management, financial performance and operational efficiencies. This role also includes day-to-day running of the Reception Desk for the morning clinics.
Primary Duties will include:
Patient Journey & Experience
- Maintain a culture of patient care and ensure an ongoing focus on improving the quality of the patient experience
- Oversee the bookings process and ensure the highest level of communication and professionalism
- Ensure that admin processes and workflows are effective and efficient
- Deal with patient feedback and escalate where necessary
- Ensure that patient information materials and website content are updated and kept current.
Our People - Leadership and Development of the Team
- Directly manage, develop, evaluate and motivate staff, with the aim of building an effective and engaged team.
- Provide leadership to the team, through regular meetings, objective setting, and effective communication
- Ensure required staffing levels are in place and induct new staff , clinicians and locums into practice processes
- Manage admin roster, doctor and nurse sessions to ensure adequate cover and monitor/adjust in line with seasonal requirements
- Co-ordinate annual staff appraisals and reviews
- Ensure compliance with conditions of employment, which include current employment legislation and recognised good practice
Business & Operational Functions
- Ensure a proactive approach to all daily, weekly and monthly tasks within the administrative function including reception cover as necessary
- Responsible for all supplies, both medical and administrative
- Ensure compliance with all statutory and legal regulations
- Act as the primary liaison with the HSE, regulatory bodies and relevant medical associations
- Maximise the use of IT systems (and developing procedures to ensure the effective running of the practice information systems)
- Implement practice policies and procedures and introduce systems and workflows where relevant to support such policies
- Ensure facility and equipment is in good condition and high standards of hygiene are maintained
- Participate in regular meetings with employers to ensure efficient organisation and completion of team work and provide feedback
Financial
- Manage day to day financial function of the practice, ensuring that daily income and takings are reconciled, carry out bank lodgements in line with policy, manage petty cash, approve all supplier transactions
- Responsibility for managing GMS & private patients as well as new, transferring and nursing home patients
- Ensuring submission of GMS returns and claims, billing of relevant patients and reconciliation of accounts
- Approve and oversee monthly payroll process for staff in the practice ensuring information is provided to accountant within monthly deadlines.
- Providing ad hoc reports or practice information to accountant when required
General
- Observe a professional manner at all times, representing the values and ethos of the practice
- Promote the efficient and effective delivery of services
- Any other duties as deemed appropriate by the employer
Position Requirements·
- Possess superior patient service skills
- Previous management experience in a medical or dental practice or other relevant management experience is desirable
- Good understanding of the Health Service & GMS Scheme
- Senior administrator experience
- Strong people management skills, and the ability to manage a team
- Planning and organisation skills, and the ability to deal with several tasks simultaneously
- Excellent interpersonal, communication and telephone skills
- Desire to continuously improve processes and ways of working to the benefit of our patients and the practice
- High level of professionalism and ability to exercise discretion and maintain confidentiality for all aspects of the practice
- Competent computer user with experience of medical based software a bonus
- Adaptability, and flexibility to approach and availability
- Fluency in spoken and written English is essential
