Duties and Responsibilities
Main duties and responsibilities
• To deliver cohesive administrative support to the National Health and Safety Department
• Support the implementation of the National Health and Safety Management System across the Agency
• Where appropriate respond to all general health and safety enquiries received
• Manage in conjunction with the Health and Safety Advisor the statutory reporting of all Health and Safety incidents for the Agency
• Assist with the design and roll out of national health and safety initiatives, communication campaigns & innovation
• Collate and analyse health and safety data from various sources, for example, incident reporting systems (NIMS & HSA Reportable Portal) and HSELand training database
• Establish and maintain a standardised approach to collect health and safety data to ensure consistency and accuracy
• Oversee health and safety integrity by preforming regular data quality checks to identify and fix gaps or errors in reporting
• Design and maintain interactive visual user-friendly data dashboard using tools like Power BI
• Draft regular reports for circulation to the National Health and Safety Dept, Senior Management team
• Draft management presentations presenting the data in a clear and concise manner
• Tailor communication and repots to meet information needs of end user (National, Regional, service or site-specific reports)
• Develop and implement new performance metrics where required
• Evaluate weekly, monthly, quarterly and annual safety data to Identify emerging trends
• Provide evidence-based suggestions to mitigate and improve workplace health and safety
• Fulfil ad-hoc data requests received from internal or external sources
• Assist in the delivery of health and safety training across the Agency and maintain training records
• To promote a positive Safety culture within the organisation through communication and interactions with all Tusla Staff
• Undertake additional specific health and safety compliance tasks as may be required (for example, completion of DSE workstation assessments, workplace safety inspections, manual handling assessments and/or training delivery)
• Any other duties assigned by the Line Manager or National Health and Safety Manager
• Maintain confidentiality, a high level of professionalism and the highest standards of Data Protection at all times
Health & Safety
• Comply with and contribute to the development of policies, procedures, guidelines and safe professional practice and adhere to relevant legislation, regulations and standards
• Have a working knowledge of the Health Information and Quality Authority (HIQA) Standards as they apply to the service for example National Standards for Child Protection and Care and comply with associated Tusla – Child and Family Agency protocols for implementing and maintaining these standards as appropriate to the role
• To support, promote and actively participate in sustainable energy, water and waste initiatives to create a more sustainable, low carbon and efficient health service

Eligibility Criteria
Qualifications and / or Experience
Applicants must by the closing date of application have the following:
• Have a working knowledge of the Safety, Health and Welfare at Work Act 2005 & associated Regulations
• Have at least 2 years’ administrative experience as relevant to the role
• Experience in use of complex Incident management systems such as NIMS, or similar
• Experience of data analysis and generating detailed management reports
• Proven experience working towards set deadlines in a dynamic and busy department
• Proficiency with Microsoft office packages: Outlook, Excel, Word, PowerPoint, Project, Share point, Power BI etc.

A candidate for and any person holding the office must be fully competent and capable of undertaking the duties attached to the office and be in a state of health such as would indicate a reasonable prospect of ability to render regular and efficient service.
