About the role

The Hire Desk & Procurement Assistant is responsible for coordinating the hire of plant, tools, equipment, and temporary site services while supporting procurement activities across construction projects. The role ensures equipment and materials are sourced cost-effectively, delivered on time, and managed efficiently to support project delivery.

This role will be based in our Kill, Kildare Head Office.

Hire Desk Duties

  • Arrange the hire of plant, machinery, tools, and equipment for construction sites.
  • Obtain quotations from approved suppliers and negotiate competitive rates.
  • Process hire requests and raise purchase orders in accordance with company procedures.
  • Monitor equipment hire periods and ensure off-hire requests are processed promptly to avoid unnecessary costs.
  • Maintain accurate records of all hired equipment and associated documentation.
  • Coordinate deliveries, collections, and exchanges with suppliers and site teams.
  • Resolve supplier queries, breakdowns, and equipment replacement requirements.
  • Produce regular reports on hire spend and utilisation.

Procurement Duties

  • Source materials, consumables, and services required for construction projects.
  • Obtain and compare supplier quotations to achieve best value.
  • Raise purchase orders and ensure compliance with procurement policies.
  • Track deliveries and follow up on outstanding orders.
  • Liaise with site managers, project managers, and suppliers regarding procurement requirements.
  • Maintain supplier records and pricing agreements.
  • Assist in identifying cost-saving opportunities and alternative suppliers.
  • Support supplier performance reviews and evaluation processes.

Administrative Responsibilities

  • Maintain procurement and hire tracking systems.
  • Process invoices and reconcile supplier charges against purchase orders and delivery records.
  • File and maintain procurement and hire documentation.
  • Assist with monthly reporting on expenditure, supplier performance, and cost savings.
  • Ensure compliance with company procedures and health and safety requirements.
What do you bring to the role?
  • Previous experience in an administrative, procurement, purchasing, or hire desk role, preferably in the construciton/engineering/plant sector.
  • Proficiency in Microsoft Office, particularly Excel.
  • Excellent organisational and multitasking skills.
  • Qualification in Procurement, Supply Chain Management, Business Administration, or a related discipline.
  • Experience with COINS, SAP, Oracle, Procure, Sage, or similar systems.
  • Strong communication and interpersonal skills.
  • Ability to work under pressure and prioritise competing demands.
  • Ability to build effective relationships with suppliers and internal stakeholders.
  • Timely procurement of materials and equipment.
  • Reduction in unnecessary hire costs.
