EQUANS are recruiting for a part time HR Administrator to be based in Belfast. This is a 6 month fixed term contract working 16 hours per week. On offer is a salary of £11,090 and benefits package.

General Overview

We are looking for a proactive, organised, and people‑focused HR Administrator to join our HR function. Working closely with the HR Business Partner, you will provide high‑quality administrative support across the full employee lifecycle, helping to ensure the delivery of a professional, efficient and engaging HR service.

Key Accountabilities

HR Administration

  • Provide administrative support across all HR processes including recruitment, onboarding, employee relations, learning & development, and HR systems.
  • Maintain accurate employee records, ensuring compliance with GDPR and internal data governance standards.
  • Prepare contractual documents such as offer letters, contracts of employment, and contract amendments.
  • Support with probation, absence, and performance management administration.

Recruitment & Onboarding

  • Assist the recruitment process and correspondence.
  • Support pre-employment checks and onboarding activities to ensure a smooth start for new employees.
  • Coordinate induction programmes and ensure new starters receive all necessary information and equipment.

Employee Support

  • Act as a first point of contact for HR queries, providing professional and timely responses or escalating where required.
  • Assist with organising employee engagement initiatives and wellbeing activities.

HR Systems & Reporting

  • Maintain HRIS data, ensuring accuracy at all times.
  • Produce regular and ad‑hoc HR reports (absence, turnover, compliance, etc.).
  • Support continuous improvement by identifying opportunities to streamline processes.

General

  • Provide administrative support for meetings, including preparing agendas, capturing minutes, and tracking follow‑up actions.
  • Support HR projects and wider organisational initiatives as required.

Who are we looking for?

Skills & Experience

Essential

  • Previous administrative experience, ideally within HR or a similar support function.
  • Strong organisational skills and the ability to prioritise a busy workload.
  • High level of accuracy and attention to detail.
  • Excellent communication skills, both written and verbal.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Ability to handle confidential information with professionalism and discretion.

Desirable

  • Experience using HR systems.
  • CIPD Level 3 (or working towards) is desirable but not essential.
  • Knowledge of UK employment legislation.
