Role Purpose

Our HRGraduate will be to joining as part of our Human Resources Department to be base in our HQ Offices in Naas, Co. Kildare. The main activity within this role is to provide administrative support within the HR department and take responsibility for specific projects.

Location: Naas, Co. Kildare, Ireland.

Salary: DOE

Working Hours: 8am - 5pm, Mon. - Fri. (some flexibility required)

Contract Type: Fixed Term

Reports to: Senior HR Manager

Role Responsibilities & Duties:

Recruitment:

  • The recruitment process from start to finish within operations.
  • Draft new job specs for approval.
  • Advertise roles.
  • Screen applications.
  • Arrange Interviews.
  • Preparation for Interviews including: Pre-Employment Questionnaires, ID Checks, English Exams, Arrange Pre-Employment Medicals.
  • Arrange job offers and contracts.
  • Issue Job Specs.
  • Arrange new employee set up: Fobs, Payroll Setup, TMS set up, finger index & uploading employee files onto the system.
  • Arrange Induction session and coordinate with other training presenters.
  • Maintain & sort leavers – removes from lists & delete from training & communication platforms.
  • Ensure to archive all leavers.
  • Pulling reports on a weekly/bi- weekly basis.

Training:

  • Conduct weekly/Monthly HR Induction .
  • Driving the training platform.
  • Arrange In House Training Sessions.
  • Update Training Section in TMS.
  • Maintain Company Training records.
  • File all Training sign off sheets and exams.
  • Update and revise Induction Sessions.

Performance Appraisals:

  • Manage the appraisals database weekly.
  • Update appraisals database on a weekly basis.
  • Email dates of appraisals to managers in respect to 3 months, 6 months and yearly appraisals.
  • Follow up emails and ensure all paperwork is handed in on a timely manner.
  • File all paperwork accordingly and pass on concerns and issues to manager.

Administration

  • Ensure that HR Departmental and general filing system is maintained.
  • Preparation and follow up on HR related documents.
  • Entry of data into HR systems ensuring records are maintained up to date, accurate, and in compliance with relevant legislation.
  • Generating reports as required.
  • Contract’s database maintenance (i.e. specified, fixed term lists)
  • Assisting in updating the Company Handbook.
  • TMS Update Project, Data Entry.
  • Weekly and Monthly reports.
  • General Admin, letters, permanency, letters for social welfare etc.
  • Assisting the HR officer with the Wellness program & running events in conjunction with the wellness program.
  • Ensure all toolbox talks are saved on SharePoint & easily accessible.

Employee Permits:

  • Create permits database.
  • Update permits on a monthly basis.
  • Assist with permit paperwork.
  • Liaise with relevant authorities in regard to permits.

Employee Relations:

  • Note taking in meetings.
  • Assisting in low level disciplines.

Knowledge and Experience:

The successful candidate should have:

  • Proven ability to see projects through from start to finish.
  • Excellent administration and organisational skills.
  • Excellent knowledge of MS Office, particularly Excel.

Qualifications & Technical Skills Requirements:

  • 3rd level HR related discipline from an accredited institution.
  • A strong understanding and working knowledge of HR policies, processes and procedures.
  • CIPD accredited is desired but not essential.
