HR Officer
POSITION SUMMARY:
Responsible to the HR Manager/ Director of People and Culture, the HR Officer will play a role in providing best practice in relation to HR support, including recruitment, training, performance management, employee engagement, employee data management, payroll and HR best practices while facilitating a positive relationship between employees and managers.
The post holder will be reliable, highly motivated, enthusiastic and flexible in their approach to the work and be open and willing to contributing to the wider objectives of the organisation.
Please note: This is a permanent, full time position based in Jigsaw National Office in Dublin 2, with hybrid working options available.
MAIN RESPONSIBILITIES:
- To be responsible for the support and maintanance of HR software (HRIS System - currently Bamboo) including the inputting, updating and transferring of data. Be the technical expert for the system providing support and coaching to HR colleagues and new users ensuring all HR data records are up to date and 100% accurate
- Liaise and co-operate with line managers and supervisors to deliver HR support throughout the organisation.
- Support Jigsaw's end-to-end on-boarding process:
- Recruitment - Supporting line managers in compiling job descriptions, job advertising, screening, scheduling of interviews, and E-Vetting for all positions.
- Coordinate and prepare all contracts and new starter packs, ensuring that all items on the new hire checklist are completed in a timely manner
- Coordinate, schedule and manage Jigsaw Induction Process
- Provide excellent HR administration service, delivering accurately and efficiently, often within strict or tight deadlines
- Process all leavers, including conducting exit interviews, analyse exit data, and produce summary reports and trending analysis.
- Liaise with HR Business Partner and the Finance team to prepare and administer monthly Payroll.
- Manage employee benefits from start to finish on a monthly basis, this including Pension, Travel Tickets and Cycle to Work applications
- Support Jigsaws Performance Management Framework - monitoring and tracking employee probationary periods – liaising with Managers regarding the performance of new starters, preparing letters for those who successfully pass their probation and letters to those who are being extended
- Produce all standard HR documentation – e.g. salary certificates, promotion letters, reference requests etc.
- Preparation of various HR reports and statistics as required by HR Manager, HR Business Partner and line managers
- Co-ordinate external training for all employees required in line with strategic objectives.
- Collaborate on Employee Engagement programmes
- Management and administration of Jigsaw leave policies eg Annual Leave, sick leave, Maternity/Paternity and unpaid leave
- Deliver Human Resource training and workshops and the roll out of any new policies and initiatives.
- Implement and maintain HR policies and procedures to ensure effective, fair and consistent management of staff throughout the organisation and ensure that the employee handbook is comprehensive and up to date.
- Work as part of the HR team and develop positive and close working relationships with HR Manager, Business Partner & Administrator
- Carry out administrative duties for the Team as required.
- Carry out such other duties as may reasonably be requested by Jigsaw to assist the advancement of the objectives of Jigsaw
KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED
Essential:
- Degree in Human Resource Management or relevant HR discipline, CIPD qualified
- Minimum of 2 years’ experience in generalist of senior HR administrator role
- Knowledge of Employment legislation and best practice
- Experience delivering HR and/or training workshops
- Strong IT Skills e.g. Microsoft Office (particularly Excel)
- Strong interpersonal and communication skills, with an ability to build relationships with internal and external stakeholder
- Ability to communicate and relate to a range of employees across the organisation
- Well-developed written communication
- Excellent organisational and time management skills
- Ability to manage and prioritise own workload and work with flexibility, initiative, creativity and imagination
- Capacity to work both on own initiative and as part of a Team
Desirable:
- Experience working with HR management systems
- Experience administering payroll
- Understanding of the issues which impact upon the mental health of young people
- Ability to meet strict deadlines and targets
- High tolerance for complexity and change and an ability to flourish and adapt in a dynamic environment
BENEFITS:
Salary commensurate with qualifications and experience. Factors taken into account in determining an appropriate scale include the candidate’s knowledge, skills, experience and qualifications relevant to the job.
The salary range for this role will be €35,457 - €50,284.
