Background: Limerick and Clare ETB’s College of FET delivers innovative and responsive full-time and part-time education and training opportunities and support services to young people and adults who are employed, unemployed or not in the labour market. FET Provision operates from a number of FET Campuses and in a large number of community and partnership-based locations across the region. FET programmes are certified between Level 1 and 6 on the NFQ.
Function of Job: The Information Officer will work closely with the FET Manager, FET Information, Recruitment & Guidance Support Service, Enterprise Engagement Support Service, Active Inclusion Support Service and other FET Provision. S/he will coordinate a range of learner-centred information across FET provision and initiatives. S/he will play a key role in liaising with learners, learning practitioners, admissions office staff, recruitment and training officers, information, recruitment and guidance staff, local partners and employers in order to support education, training and labour market interventions.
DUTIES AND RESPONSIBILITIES
The duties and responsibilities of the post are ever evolving as the exigencies of the post require. The below outlines some of the more immediate duties and responsibilities, but is not an exhaustive list. The successful candidate will:
• support the ongoing development, expansion and maintenance of a comprehensive, up-to-date and user-friendly education, training and career development information support service;
• maintain comprehensive and up-to-date information on local education, training and labour market interventions;
• use new technologies (VLEs; CRMs; Timetabler; Apps, Social Media etc.) to promote access to information and support the education, training and career development needs of learners;
• maintain and keep up-to-date various information stands, noticeboards etc. within FET Information Hubs;
• develop innovative education, training and career planning resources, tools and methodologies in line with identified needs of the target group(s);
• design, facilitate and evaluate education, training and career information workshops;
• deal with enquiries by telephone, email and in person from learners and members of the public, local agencies and community groups seeking education, training and careers information;
• provide user-friendly, accurate, and relevant information and advice to enquirers;
• undertake research on behalf of service users;
• support users to become self-managing in accessing, interpreting and applying education, training and careers information;
• make referrals to internal staff, as appropriate, e.g. Information, Recruitment and Guidance, Admissions Office, etc.;
• make referrals to external organizations, as appropriate;
• organise events, marketing activities and promotional materials;
• input and maintain appropriate client records;
• use relevant management information and learner management information systems to maintain the appointments system for guidance interviews and group sessions;
• make referrals for clients to meet internal staff and/or external organisations, as appropriate;
• maintain appropriate links with other service providers;
• assist in the preparation and completion of data returns, as required;
• keep abreast of changes and developments regarding future skill needs, both locally, regionally and nationally;
• ensure that all Information, Recruitment and Guidance staff are kept updated regarding new information and changes that may affect clients;
• participate in appropriate staff professional learning & development as agreed with the line manager;
• reflect on and enhance own expertise, on an on-going basis, through work activities, training and development.
Partnership Work
• develop close collaborative links with relevant internal and external partners for planning, development, delivery and evaluation purposes;
• conduct and contribute to the monitoring, review and evaluation of the relevant activity.
Administration
• carry out day-to-day administration;
• maintain learner/user records in a confidential manner and in-line with best practice and procedures as set down;
• collect, input and analyse all data as required for the assigned Management Information System(s) (MIS);
• establish and maintain good communication and liaison structures within the area of responsibility;
• ensure co-ordination and co-operation across all ETB activities to enable the effective and efficient operation of the College of FET’s IRGSS;
• maintain financial records including monthly accounts, invoicing and purchase of equipment, as appropriate;
• liaise with the ETB Innovation, Development and Quality team inclusive of Research and Development, the FET Communications Team and other relevant groups to link communication strategies with R&D initiatives and developments;
• undertake or oversee any other duties / projects as required and directed by Management from time-to-time having regard to the changing needs of the support service.

Work Experience
Particular Experience/Skills required
A minimum of three years fulltime equivalent experience of working in a FET context or other education, training or information / marketing environment.
High level of computer literacy and knowledge of relevant MIS systems.
Have a broad-based work experience which demonstrates progression and the ability to take on new challenges.
Experience of developing, delivering and promoting a range of information resources and supports.
Experience of working in partnership and in teams with colleagues, community personnel, employers and other external stakeholders.
