We are seeking a proactive, highly organised, and analytical IT Office Manager to join the IT team. The IT Office Manager will be responsible for the planning, control and analysis of IT costs, IT supplier management, IT asset management and overseeing general office administration for the IT team. We are looking for someone who thrives in a fast-paced environment, can manage multiple priorities with a keen eye for detail, and possesses excellent communication skills.

What you'll do

  • IT Cost Management 
    • Coordinate the annual cost and investment planning process. 
    • Closely monitor and control the ordering and invoicing processes for the IT department, validating the backup for all invoices and ensuring timely payment. 
    • Perform ongoing analysis of all IT costs and investments, flagging deviations from the financial plan. 
    • Manage monthly cost accruals in coordination with the Accounts & Finance department. 
    • Provide monthly feedback to the Controlling & Analytics department on the monthly IT spend vs. plan. 
    • Coordinate and reconcile the IT software license planning and renewal process. 
  • IT Supplier Management
    • Manage the IT supplier setup and onboarding process. 
    • Serve as the primary point of contact for supplier queries and reconcile supplier accounts. 
    • Together with the Procurement team, assist with the entire contract lifecycle, from initial negotiation to secure filing of contracts and monitoring of renewal dates. 
  • IT Asset Management 
    • Assist with the management of all IT assets, ensuring that there is a full and complete overview of all IT hardware and software. 
    • Produce regular reports on asset status, age, and license compliance. 
    • Oversee the upkeep and maintenance of the IT build room and IT stock room. 
  • IT Reporting
    • Preparation of monthly performance acceleration reports, e.g. in relation to cost, investment, ARIS compliance and IT on-call statistics.
    • Continue to develop new KPI reports based on the requirements of the IT team. 
  • Other Tasks 
    • Assisting with IT Business Process Mapping using Aris software. 
    • Oversee and assist with OneTrust compliance for the IT department. 
    • Assist IT team members with ad hoc administration duties and projects
    • Other general administrative tasks such as the preparation of department presentations for open days or quarterly meetings, planning team days out, preparation of personnel update memos, etc.

What you'll need

  • Experience in an office management or similar administrative role.
  • Strong interpersonal skills, with the ability to communicate clearly.
  • Highly motivated & flexible with the ability to work under pressure and on own initiative.
  • Ability to ensure work is carried out and completed in a controlled, compliant, timely and accurate manner with emphasis on attention to detail.
  • Exceptional organisational, analytical and data analysis skills.
  • Experience with IT Governance and GDPR compliance would be beneficial.
  • German is an advantage but not essential.
  • Strong numerical skills and process orientated mindset.
